Role & responsibilities
Manage the complete lifecycle of project documents, including receipt, registration, distribution, tracking, storage, retrieval, and archival.
Administer and maintain the organization's Electronic Document Management System (EDMS).
Ensure all engineering drawings, specifications, method statements, technical submittals, and project documents are properly controlled and updated.
Maintain document registers, drawing registers, revision logs, transmittals, and document tracking reports.
Ensure that only the latest approved drawings and documents are circulated to project teams and site personnel.
Track drawing revisions, superseded documents, and document status to prevent the use of obsolete information.
Coordinate with Planning, Engineering, Design Consultants, Clients, QA/QC, Procurement, and Site Teams for document submission and approvals.
Monitor document turnaround times and follow up with stakeholders to ensure timely approvals.
Prepare and maintain document control reports, pending submission reports,



and revision status reports.
Archive project documents in accordance with company procedures and contractual requirements.
Ensure compliance with document control procedures, ISO standards, and project documentation requirements.
Support project handover by compiling final documentation, as-built drawings, and close-out records.

Preferred candidate profile
Robust knowledge of Electronic Document Management Systems (EDMS).
Experience in managing engineering drawings and construction project documentation.
Understanding of document numbering systems, revision control, and document workflows.
Proficiency in Microsoft Office (Excel, Word, Outlook).
Excellent organizational and record management skills.
Robust attention to detail with high accuracy.
Positive communication and coordination skills.
Ability to manage multiple projects and meet deadlines.
