Role Purpose
The Travel Manager will plan, coordinate and manage safe, comfortable and well-organised travel for elderly clients/senior citizens, with particular focus on mobility, health-related needs, companionship, accessibility, family communication and emergency preparedness. The role requires close coordination with clients, families/Next of Kin, transport providers, hotels, hospitals, caregivers and internal care teams.
Key Responsibilities

- Understand the senior travellers requirements, mobility level, medical considerations, preferred travel style and budget.
- Plan end-to-end domestic and international travel, including transport, accommodation, transfers, sightseeing and return arrangements.
- Arrange age-friendly, accessible and reliable transport, including wheelchair assistance, airport/railway station assistance and special seating where required.
- Coordinate with airlines, railways, hotels, cab operators, travel agencies, hospitals and other service providers.
- Verify hotel accessibility, lift availability, room location, bathroom safety, food requirements and proximity to hospitals/pharmacies when relevant.
- Prepare detailed travel itineraries with contact numbers, booking references, transfer details, emergency contacts and contingency plans.
- Coordinate caregivers, escorts or travel companions when required and ensure clear handover before, during and after travel.
- Maintain regular communication with the elderly traveller and their family/Next of Kin regarding itinerary, delays, changes and important updates.
- Monitor travel progress and proactively resolve delays, cancellations, missed connections, lost baggage, accommodation issues and other travel disruptions.




- Maintain emergency escalation procedures and coordinate with local medical facilities or emergency services when required.
- Ensure all travel documents, identification, tickets, insurance details, permits and other required documents are properly checked and organised.
- Maintain accurate records of bookings, expenses, client preferences, vendor details, incidents, feedback and service quality.
- Manage travel budgets, quotations, invoices, refunds and reconciliation in coordination with Accounts/Finance.
- Evaluate and negotiate with travel and hospitality vendors to ensure quality, safety and cost effectiveness.
- Collect post-trip feedback and identify opportunities to improve senior-friendly travel services.

Elder-Care Specific Responsibilities

- Assess special travel needs such as wheelchair support, walking assistance, medication schedules, dietary requirements and caregiver support.
- Ensure travel plans allow adequate rest breaks, comfortable journey durations and age-appropriate sightseeing schedules.
- Avoid unnecessary physical strain by selecting convenient boarding points, transfers and accommodation.
- Maintain a clear emergency contact and escalation matrix for every senior traveller.
- Coordinate with family members and care teams for medication, medical documents and other approved care-related requirements.
- Protect client dignity, privacy, personal belongings and confidential information throughout the travel journey.

Required Skills & Competencies

- Strong travel planning, coordination and vendor-management skills.
- Excellent communication and interpersonal skills, especially with senior citizens and family members.
- High level of patience, empathy,



responsibility and problem-solving ability.
- Ability to handle emergencies, last-minute changes and multiple travel arrangements calmly.
- Good knowledge of airlines, railways, hotels, local transportation and travel documentation.
- Good computer skills, including email, spreadsheets, booking platforms and digital communication tools.
- Strong documentation, follow-up and time-management skills.
- Ability to work flexible hours, including weekends/holidays, when client travel requirements demand it.

Qualifications & Experience

- Graduate in Travel & Tourism, Hospitality, Business Administration or a related field preferred.
- 35 years of experience in travel management, senior travel, hospitality, concierge, healthcare travel or a similar coordination role preferred.
- Experience handling elderly travellers, assisted travel or healthcare-related travel will be an added advantage.
- Knowledge of travel booking systems and basic travel documentation is preferred.
