Spare Parts Manager

Industry: Power Solutions / Diesel Generator Sales, Service & Spares

Key Responsibilities

- Handle spare-parts enquiries from customers, service engineers, AMC customers and internal teams.
- Identify the correct parts using DG model, engine model, serial number, parts catalogues, past consumption and technical references.
- Prepare spare-parts quotations and follow up with customers for order conversion.
- Support urgent breakdown requirements and coordinate quick availability and dispatch of critical parts.
- Develop spare-parts business from existing customers and generate repeat sales from the installed base.
- Maintain optimum inventory levels for rapid-moving and critical parts using minimum stock, reorder and safety-stock principles.
- Monitor fast-moving, slow-moving, non-moving and ageing inventory and take corrective action to control dead stock.
- Ensure accuracy between physical stock, inward/outward documents and ERP/inventory records through regular reconciliation.
- Coordinate with suppliers for procurement, pending orders, backorders and delivery commitments.
- Maintain updated purchase prices, selling prices, discount structures and margins.
- Coordinate parts availability for breakdowns, preventive maintenance, AMC jobs and service campaigns.
- Maintain records of parts issued against service jobs and ensure proper documentation.




- Prepare regular MIS reports covering spare sales, gross margin, stock value, inventory ageing, pending orders and customer-wise consumption.
- Coordinate with the Accounts team for invoicing, credit/outstanding follow-up and commercial documentation.
- Monitor spare-parts sales performance and identify opportunities for business growth and improved profitability.

Candidate Profile

- Graduate / Diploma holder; technical qualification preferred.
- 4–8 years of experience in spare-parts operations, inventory management, procurement or parts sales.
- Good understanding of inventory control, stock reconciliation and reorder planning.
- Ability to identify technical parts through catalogues and equipment details.
- Good working knowledge of MS Excel and ERP / inventory management software.
- Strong customer-handling, coordination and vendor-management skills.
- Good commercial awareness with the ability to monitor pricing, discounts and margins.
- Strong organizational and problem-solving skills.
- Ability to handle urgent breakdown and service requirements efficiently.
