Responsibilities:
Position Purpose
A supervisory and managerial role leading a team of Payment Operations responsible for the complete payment workflow – Confirmations and Settlements, Reconciliation, Investigations and Client Support. The role owns daily delivery across confirmations, settlements, sweeps, payment queues, funding movements, reconciliations and safeguarding-related controls, ensuring all activity is completed accurately, within currency cut-offs and to agreed service standards.
The role combines people leadership – building, coaching and developing the team – with senior hands-on oversight of complex, high-value or client-impacting cases, and acts as the primary escalation point for incidents, exceptions and control issues within the function.
The role is also expected to lead process improvement initiatives and projects across payment operations, including the responsible use of data, MI, AI and automation tools to improve workflow efficiency, investigation quality, reporting and control consistency.
Key Responsibilities
Operational Leadership & Delivery
- Lead and supervise daily payment operations activity across confirmations, settlements, sweeps, payment queues, funding movements and related operational entries, ensuring instructions, beneficiary details, trade data, currency rules, cut-offs and supporting information are checked before processing.
- Set clear priorities for time-sensitive payments, investigations, reconciliation breaks and escalations, ensuring work is allocated, tracked and completed within agreed standards.
- Act as the senior point of support for complex or high-impact payment issues, while remaining prepared to step into the detail and provide hands-on cover for BAU items where required.
- Maintain operating rhythms – daily huddles, handovers, queue reviews and MI – that keep BAU activity visible, prioritised and controlled across the team.
Payment Investigations & Exception Management
- Oversee payment enquiries, repairs, exceptions and investigations, including rejected, delayed, returned, amended, unmatched or misdirected payments, working with correspondent banks, payment partners and internal teams to resolve cases within expected service standards.
- Guide root-cause analysis across payment messages, transaction data, funding movements, system records, correspondent bank updates and client-facing information.
- Ensure investigation records are complete, clear and audit-ready, including ownership, ageing, escalation status, evidence and closure rationale.
- Identify recurring exception themes and work with Product, Technology, Risk and operational teams to reduce repeat issues through process, data or system improvements.
Reconciliations, Safeguarding & Financial Controls
- Oversee intraday and end-of-day reconciliations across payment, settlement, funding and safeguarding-related accounts, ensuring breaks, unmatched items, suspense balances and funding discrepancies are investigated with clear ownership, escalation, remediation and closure evidence.
- Review material, aged or unresolved breaks and ensure remediation plans are in place and progressed.
- Use reconciliation trends, MI and control observations to improve matching logic, reduce manual intervention and strengthen financial controls.
Risk, Incidents & Control Oversight
- Own and maintain the operating processes, controls, written procedures and MI that keep the function disciplined, predictable and transparent, ensuring procedures are distributed and acknowledged by all team members annually and whenever updates are introduced.
- Act as the escalation point for high-value, time-critical, fraud-related, regulatory or client-impacting issues, and lead incident management from assessment through escalation, remediation tracking, stakeholder updates and post-incident actions.
- Implement and execute periodic controls for all sensitive and key tasks, ensuring segregation of duties, and take appropriate measures to ensure operational risks are properly managed and audit recommendations are promptly closed.
- Contribute to control design, risk assessments, issue remediation and audit or governance requests relating to payment operations.
- Comply with all applicable company, regulatory and internal compliance requirements, including the prevention of Financial Crime and Fraud.
People Leadership & Team Development
- Provide day-to-day guidance, coaching and quality review for analysts and team members, setting clear expectations for work quality, case handling, escalation discipline, record-keeping and control evidence.
- Own onboarding, cross-training and knowledge sharing so the team can operate consistently across payment flows, investigations and reconciliations, ensuring a training schedule exists with realistic timelines.
- Lead workload planning, performance discussions and capability development, ensuring fair workload allocation between personnel and appropriate staffing at all times.
- Upskill the team on new tools, automation and AI-enabled ways of working.
Change, Partners & Continuous Improvement
- Work closely with Product, Finance, Technology, Financial Crime, Risk, Client Services, correspondent banks and payment partners to improve payment workflows and operational readiness.
- Lead process improvement initiatives and projects across the payment workflow – identifying opportunities for STP uplift, automation and AI adoption, and delivering them from business case through to benefits realisation.
- Use data, MI, AI and automation tools responsibly to improve reporting, workflow efficiency,
investigation quality and control consistency – for example intelligent exception handling, reconciliation matching, anomaly detection and AI-assisted investigations and client servicing – with appropriate human oversight and governance.
- Support system releases, testing, new payment capabilities and process changes, ensuring operational impacts are understood and controlled.
- Identify opportunities to reduce manual effort, improve scalability and make payment operations more consistent across products, entities and jurisdictions.
Qualifications:
Knowledge, Skills and Experience
- A minimum of 10 years of experience in payment operations, settlements, investigations, reconciliations or financial operations in a regulated financial services environment, including significant experience at a supervisory or managerial level.
- Extensive knowledge of the complete payment workflow – Settlements, Reconciliation, Investigations and Client Support – with strong hands-on experience across each stage.
- Practical knowledge of domestic and cross-border payment flows, including SWIFT MT (e.g. MT103, MT202, MT199, MT299, MT210) and MX / ISO 20022 formats, currency cut-offs, settlement timelines, returns, recalls, repairs and exception scenarios, ideally including emerging market currencies.
- A strong leader experienced in building and managing an operations team, with proven coaching and mentoring skills and the ability to set standards, review work and develop team capability.
- Working knowledge of how AI can be applied in payment operations – such as machine-learning-based reconciliation matching, intelligent document and message processing, anomaly and fraud detection, predictive exception management and AI-assisted client servicing – including the associated risk, control and governance considerations.
- Proven skills in leading process improvements and projects, with a track record of implementing new systems or workflows, minimising operational losses, reducing manual effort and delivering measurable efficiency gains (Lean / Six Sigma or equivalent methodology experience an advantage).
- Experience leading complex investigations, reconciliation breaks or operational incidents through to clear, evidenced resolution.
- A strong control mindset, with the ability to design, operate and improve controls, procedures, MI, escalation paths and evidence standards.
- Confidence using data, Excel and reporting or workflow tools to monitor performance, identify themes and support better operational decisions; strong Microsoft Office skills (Excel, Word, Power Point, Visio).
- Clear communication skills, particularly when explaining risks, incidents, breaks, client-impacting issues or required decisions to different audiences, including senior management.
- The highest level of integrity, alongside a collaborative and accountable leadership style that supports trusted relationships, early escalation and strong operational outcomes.
- Ability to work accurately in a pressurised environment within stringent deadlines; self-motivated with a professional and positive attitude.
- Educated to degree level.
Preferred Qualifications
- Experience with crypto payments or blockchain-based payment operations.
- Familiarity with Safeguarding and CASS 15 support, payment controls and regulated financial services requirements.
- Experience using AI, automation, BI, workflow or reporting tools to improve operational quality, consistency and scalability.
- Formal project management or process improvement certification (e.g. Lean Six Sigma, PRINCE2, PMP).
