ob Purpose
The Recruitment, Payroll & Administration Executive will be responsible for managing the complete employee lifecycle, including recruitment, joining formalities, attendance, payroll coordination, statutory documentation, employee records, and day-to-day office administration.
Key Responsibilities
1. Recruitment & Hiring
- Handle end-to-end recruitment for technical, support, sales, accounts, and administrative positions.
- Understand manpower requirements from department heads.
- Prepare and publish job vacancies on job portals and other recruitment channels.
- Source and shortlist suitable candidates.
- Conduct initial HR screening and coordinate technical/management interviews.
- Maintain candidate and interview trackers.
- Conduct salary discussions and coordinate management approval.
- Prepare and issue offer and appointment letters.
- Follow up with selected candidates until joining.
- Maintain recruitment MIS including open positions, candidates interviewed, offers issued, joining status, and recruitment TAT.
- Coordinate recruitment for client-site and project-based manpower requirements.
2. Employee Onboarding & Documentation
- Complete joining formalities for new employees.
- Collect and verify KYC, educational, experience, bank, PAN, Aadhaar, and other required documents.
- Maintain complete employee personnel files.
- Coordinate creation of employee ID, email ID, attendance access, and other internal system access.
- Conduct basic HR induction and explain company policies.
- Maintain employee master data in HR/ERP software.
3. Attendance, Leave & Payroll
- Monitor daily employee attendance, late marks, absenteeism, and leave.
- Maintain leave records and attendance corrections.
- Prepare monthly attendance and payroll inputs.
- Calculate/coordinate salary, incentives, deductions, reimbursements, overtime, leave deductions, and other payroll components.
- Prepare monthly payroll and salary statements for management approval.
- Coordinate salary processing with Accounts.
- Generate and distribute salary slips.
- Maintain employee salary revision and increment records.
- Handle Full & Final Settlement (F&F;) for resigned/terminated employees.
4. Statutory & HR Compliance
- Coordinate PF, ESIC, Skilled Tax (PT), Labour Welfare Fund (LWF), and other applicable statutory requirements.
- Maintain employee records required under applicable labour laws.
- Coordinate with payroll consultant/CA/compliance agency wherever applicable.
- Maintain statutory challans, employee declarations, and supporting documents.
- Assist management in maintaining HR policies and compliance documentation.
5. Employee Lifecycle Management
- Maintain probation and confirmation records.
- Track employee performance review and appraisal due dates.
- Prepare confirmation, increment, warning, transfer, relieving, and experience letters as required.
- Maintain resignation and notice-period records.
- Conduct exit formalities and coordinate handover/clearance.
- Maintain employee asset allocation and return records in coordination with IT/Admin.
6. Office Administration
- Handle day-to-day office administration activities.
- Maintain office supplies, stationery, housekeeping, and general office requirements.
- Coordinate with vendors and service providers.
- Maintain vendor records, quotations, bills, and administrative expenses.
- Coordinate travel, hotel, courier, and other administrative arrangements when required.
- Maintain records of company assets allocated to employees.
- Coordinate office maintenance and facility-related activities.
7. MIS & Management Reporting
Prepare and maintain:
- Employee Master
- Attendance & Leave Report
- Monthly Payroll Report
- Recruitment Tracker
- Open Position Report
- Joining & Exit Report
- Employee Document Checklist
- Asset Allocation Tracker
- Increment/Confirmation Tracker
- HR Compliance Tracker
- Monthly HR & Administration MIS
