Position Title - HR Operations, Payroll & HRBP Specialist

Designation: Senior Executive / Associate Manager HR Operations
Department: Human Resources
Reports To: Head HR

Role Summary

The HR-Operations, Payroll & HRBP Specialist will be responsible for managing end-to-end payroll operations while ensuring complete statutory compliance, operational excellence, and process governance. The role also oversees HR operations, employee lifecycle management, HR business partnering, ISO QMS compliance, and employee-related legal matters. Working closely with business leaders and cross-functional teams, the incumbent will drive operational efficiency, ensure regulatory compliance, enhance employee experience, and support organizational growth.

Key Responsibilities

1. Payroll, Compensation & Compliance

- Manage end-to-end monthly payroll processing with complete accuracy, confidentiality, and adherence to timelines.
- Administer salary revisions, incentives, bonuses, reimbursements, variable pay, statutory deductions, and Full & Final settlements.
- Validate attendance, leave, timesheets, and all payroll inputs prior to processing.
- Prepare payroll reports, reconciliations, MIS, and coordinate with Finance for salary disbursement, accounting, and statutory payments.
- Resolve payroll-related employee queries and ensure timely closure.
- Drive payroll automation, process improvements, and robust internal controls.

2. Statutory & Employment Law Compliance

- Ensure compliance with all applicable labor laws and statutory requirements, including PF, ESIC, PT, LWF, TDS, Gratuity, and other employment legislations.
- Manage statutory filings, returns, remittances, inspections, audits, and compliance documentation.
- Coordinate with external consultants, auditors, and government authorities on statutory matters.




- Handle employee-related legal matters in consultation with the company's legal counsel.
- Prepare and maintain legal documentation, notices, replies, and case records.
- Represent the organization before Labour Authorities, Labour Offices, Labour Courts, and other statutory bodies, as authorized.

3. HR Operations & HR Business Partnering

- Manage the complete employee lifecycle, including onboarding, documentation, confirmations, transfers, promotions, role changes, and separations.
- Maintain accurate employee records, HRMS, personnel files, and HR documentation.
- Generate HR MIS, dashboards, analytics, and reports to support management decision-making.
- Partner with business leaders on manpower planning, performance management, employee relations, policy implementation, and organizational initiatives.
- Support employee engagement, grievance handling, disciplinary matters, and change management initiatives.
- Identify opportunities to simplify and continuously improve HR processes and employee experience.

4. ISO QMS & Process Excellence

- Ensure HR processes comply with ISO QMS standards and organizational quality requirements.
- Maintain HR SOPs, process documentation, audit records, and compliance registers.
- Coordinate internal and external audits and ensure timely closure of observations and corrective actions.
- Drive continuous improvement initiatives to enhance process efficiency, compliance, and service delivery.

Qualifications

- Bachelor's degree in human resources, Commerce, Business Administration, or a related discipline.
- MBA/PGDM in Human Resources will be preferred.

Experience

- 12 15 years of progressive experience in Payroll, HR Operations, and HRBP.
- Proven experience managing payroll and HR operations for a workforce of 500+ employees.
- Strong expertise in statutory compliance, payroll administration, HRMS, employee lifecycle management, and ISO QMS.
- Hands-on experience handling employee relations, disciplinary matters, and employment-related legal cases.
- Experience representing organizations before labour authorities or coordinating employment litigation will be an added advantage.
- Demonstrated ability to drive process improvements, strengthen compliance, and partner effectively with business leaders.
