Position: Payroll Specialist

Job Type: Full-Time
Location: Vadodara

Job Summary

We are seeking an experienced Payroll Specialist to manage and process employee payroll accurately and on time. The ideal candidate will have strong knowledge of payroll processing, payroll taxes, deductions, benefits, reconciliations, and compliance with federal, state, and local regulations. The Payroll Specialist will work closely with HR, Finance, employees, and external payroll vendors to resolve payroll-related issues and maintain accurate payroll records.

Key Responsibilities

- Process biweekly, semi-monthly, or monthly payroll for employees accurately and within established deadlines.
- Review and validate timesheets, attendance, overtime, bonuses, commissions, deductions, and other payroll inputs.
- Maintain accurate employee payroll records, including recent hires, terminations, promotions, salary changes, and tax information.
- Calculate and process federal, state, and local payroll taxes and other statutory deductions.
- Ensure compliance with applicable payroll laws, regulations, and company policies.
- Reconcile payroll reports against HR and accounting records and investigate discrepancies.
- Manage payroll-related inquiries from employees and resolve issues promptly.
- Coordinate with HR regarding employee changes, benefits deductions, leave, and other payroll-impacting transactions.
- Prepare payroll reports, journal entries, reconciliations, and management reports for Finance/Accounting.




- Support year-end payroll activities, including W-2s, 1099s, and other required tax documents.
- Maintain confidentiality of employee compensation and personal information.
- Work with payroll vendors and internal stakeholders to resolve processing issues.
- Assist with payroll audits and provide supporting documentation as required.

Required Qualifications

- Bachelor's degree in Accounting, Finance, Human Resources, Business Administration, or a related field preferred.
- 3 5+ years of hands-on payroll processing experience.
- Strong understanding of payroll processing and payroll tax regulations.
- Experience with ADP, Workday, UKG/Kronos, Paychex, Ceridian Dayforce, or similar payroll systems.
- Strong Excel skills, including VLOOKUP/XLOOKUP, Pivot Tables, formulas, and data reconciliation.
- Knowledge of federal, state, and local payroll requirements.
- Strong attention to detail and accuracy.
- Excellent analytical, organizational, and problem-solving skills.
- Ability to handle confidential employee and compensation information.

Preferred Qualifications

- Experience processing payroll for 500+ employees.
- Multi-state payroll experience.
- Experience with payroll audits and year-end processing.
- CPP or FPC certification is a plus.
- Experience integrating payroll systems with HRIS and accounting/ERP systems.
- Knowledge of benefits, garnishments, tax levies, and wage deductions.
