Job Purpose
To support the procurement of packaging materials required for manufacturing and dispatch operations by ensuring timely availability of quality materials at competitive prices. The role involves vendor coordination, procurement planning, inventory monitoring, purchase order execution, and ensuring compliance with company quality and procurement standards.
Key Responsibilities
Procurement Operations
- Procure packaging materials based on production plans and inventory requirements.
- Float Requests for Quotation (RFQs) to approved suppliers and obtain competitive quotations.
- Prepare commercial comparison statements and support vendor selection.
- Create Purchase Requisitions (PRs) and Purchase Orders (POs) in the ERP system.
- Monitor order status and follow up with suppliers to ensure timely deliveries.
- Coordinate urgent procurement requirements to avoid production disruptions.
- Resolve delivery, quality, and quantity discrepancies with suppliers.
Materials to be Procured
Responsible for procurement of:
- Shrink films and stretch wraps
- Corrugated boxes and cartons
- Labels, stickers, and printed packaging materials
- BOPP tapes and strapping materials
- Pallets and pallet wrapping materials
- Tamper-evident seals
- Packing tapes, adhesives, and protective packaging materials
- Packaging consumables used in production and dispatch operations
- HDPE drums, barrels, and jerry cans
- Glass bottles
- Plastic caps, closures, and seals
Vendor Management
- Develop and maintain relationships with approved packaging material suppliers.
- Identify and evaluate alternate suppliers to improve cost competitiveness and supply reliability.
- Support vendor onboarding,
qualification, and performance evaluation.
- Assist in commercial negotiations under the guidance of the Procurement Manager.
Inventory Coordination
- Coordinate with Production, Stores, and Dispatch teams to maintain optimum inventory levels.
- Monitor consumption trends and reorder levels.
- Ensure availability of critical packaging materials to support uninterrupted production.
Quality & Compliance
- Coordinate with the Quality team to ensure packaging materials meet approved specifications.
- Ensure procurement complies with company procurement policies and applicable statutory requirements.
- Maintain supplier quality records, certificates, and supporting documentation.
- Support supplier quality audits and corrective action follow-up.
Documentation & Reporting
- Maintain procurement records, quotations, purchase orders, contracts, and supplier documentation.
- Prepare procurement MIS reports and vendor performance reports.
- Support internal and external audits related to procurement activities.
Qualification
- Bachelor's Degree or Diploma in Packaging Technology, Mechanical Engineering, Industrial Engineering, Supply Chain Management, Commerce, or a related discipline.
Experience
- 2-5 years of experience in packaging material procurement, purchasing, supply chain,
or stores.
- Fresh graduates with relevant internship experience in manufacturing industries may also be considered.
Technical Skills
- Basic knowledge of packaging materials and industrial procurement processes.
- Understanding of supplier evaluation and inventory management.
- Working knowledge of ERP systems such as SAP, Oracle, Microsoft Dynamics, or similar.
- Good proficiency in Microsoft Excel, Word, and PowerPoint.
- Strong numerical and analytical skills.
