Job Description: Order Processing Executive (US B2B Jewelry)

Position Overview

We are seeking a detail-oriented, proactive, and highly organized Order Processing Executive to join our growing team. In this role, you will be responsible for managing the end-to-end order fulfilment cycle for our US-based B2B jewelry clients. Working from India, you will act as a crucial bridge between our international clients, sales teams, and production units, ensuring that luxury jewelry orders are processed with 100% accuracy and delivered on time.

Because you will be directly supporting our North American operations, this role requires alignment with US business hours.

- Shift Timings: 07:30 PM to 04:30 AM IST (Night Shift - aligns with US Eastern/Central business hours)
- Working Days: Monday to Friday (Standard US business week)

Roles and Responsibilities

1. Order Management & Verification

- Receive, review, and accurately enter incoming B2B wholesale jewelry orders into the company’s ERP/CRM system.
- Verify order details including jewelry specifications (metal type, gemstone carats, ring sizes, custom engravings), pricing, discounts, and shipping terms.
- Flag and resolve any discrepancies in orders by coordinating with US sales representatives or directly with B2B clients via email/phone.

2. Operations & Inventory Coordination

- Check real-time inventory levels to ensure product availability before confirming orders.
- Coordinate closely with the production and logistics teams in India or the US to track order status and ensure strict adherence to shipping deadlines.
- Manage backorders and pre-orders, providing realistic timelines to stakeholders.

3. Client Support & Communication

- Provide exceptional, qualified email and chat support to US B2B clients regarding their order status, tracking details, and invoicing.
- Handle order modifications, cancellations, and return requests (RMA) according to company policy.

Data Maintenance & Reporting

- Maintain accurate, up-to-date customer profiles and order histories in the database.
- Generate daily and weekly order status reports, pending shipment summaries, and fulfillment logs for the US management team.

5. Required Skills and Qualifications

- Communication (Mandatory): Fluent, professional English communication skills (both verbal and written).
- Written: Ability to draft flawless, grammatically correct, and polite emails to US B2B clients, retail partners, and internal corporate stakeholders.
- Verbal: Ability to speak clearly and confidently with a neutral accent when handling occasional calls with US-based sales teams or clients.
- Experience: 1–3 years of experience in order processing, e-commerce operations, or international logistics support. Experience in the Gems & Jewelry industry or US-facing B2B operations is highly preferred.
- Education: Bachelor’s degree in Business, Commerce, Communications, or a related field.
- Technical Savvy:
- Proficiency with ERP/CRM software
- Strong command over Microsoft Excel (VLOOKUP, Pivot Tables) and Google Workspace.
- Attention to Detail: High precision in data entry, especially regarding technical jewelry specifications where minor errors can be costly.

Key Competencies for Success

Night Shift Resilience: Proven ability to work consistently and productively during night hours (07:30 PM - 04:30 AM IST).

Problem-Solving Mindset: Ability to think on your feet and resolve shipping or ordering bottlenecks independently.

Time Management: Excellent organizational skills to handle high volumes of orders, especially during peak US holiday seasons (Q4/Christmas, Valentine's Day, Mother's Day).

Pay: ₹30,000.00 - ₹50,000.00 per month
