Export DocumentationPosition OverviewWe are seeking an experienced and detail-oriented Export & Import Logistics professional to manage international shipments, export documentation, customs compliance, logistics coordination, and trade finance activities. The ideal candidate will have strong expertise in INCOTERMS, customs regulations, shipping procedures, export documentation, and Letter of Credit (LC) transactions.
The role requires close coordination with international clients, internal production teams, shipping lines, freight forwarders, Customs House Agents (CHAs), banks, and other logistics partners to ensure timely, compliant, and cost-effective movement of goods.
Key Responsibilities1. Export Documentation & CompliancePrepare, review, and process all pre-shipment and post-shipment export documentation.Manage commercial invoices, packing lists, Bills of Lading (BL), shipping bills, Certificates of Origin, and other relevant trade documents.Ensure compliance with applicable international trade laws, customs regulations, and export procedures.Maintain accuracy and completeness of all documentation to support timely shipment clearance.2. Logistics CoordinationCoordinate with shipping lines, freight forwarders, transporters, and logistics service providers.Book cargo space and manage shipment schedules.Coordinate with Customs House Agents (CHAs) for customs clearance and related formalities.Ensure smooth coordination from order readiness through final shipment dispatch.3. Shipment Tracking & MonitoringMonitor container stuffing, transportation, port movement,
and shipment status.Track shipments and provide regular updates to clients and internal stakeholders.Proactively identify and resolve delays, documentation issues, and operational challenges.4. Client & Stakeholder CommunicationAct as the primary point of contact for international clients regarding shipment and logistics matters.Coordinate with internal production, sales, finance, and warehouse teams.Maintain effective communication with freight forwarders, shipping lines, CHAs, banks, and other external partners.5. Letter of Credit & Trade Finance DocumentationReview and manage export documentation in accordance with Letter of Credit (LC) terms.Ensure documents comply with LC requirements to minimize discrepancies and payment risks.Coordinate with banks regarding foreign inward and outward payments and related trade finance documentation.Support timely resolution of discrepancies and documentation-related issues.6. MIS & Administrative ReportingPrepare regular MIS reports related to shipments, exports, logistics performance, and trade activities.Maintain accurate records of shipment documentation and transactions.Support management with relevant operational and performance reports.7. Risk Management & Export PackingEnsure correct marking, tagging, labeling,
and packing of export goods.Verify that goods are packed in accordance with customer requirements and international shipping standards.Identify and mitigate risks related to documentation, customs, shipment delays, compliance, and payment terms.Required Skills & QualificationsExperienceMinimum 5 years of experience in import/export logistics, international trade, or a related field.Technical KnowledgeStrong understanding of INCOTERMS, customs regulations, and international shipping procedures.Expert proficiency in preparing and reviewing export documentation.Strong knowledge of Letter of Credit (LC) terms and documentation requirements.Understanding of foreign trade procedures, customs clearance, and international logistics operations.Software SkillsProficiency in MS Office, particularly Excel and Word.Experience working with ERP systems and logistics/trade management software.Communication SkillsExcellent verbal and written communication skills in English.Solid coordination, negotiation, and stakeholder management abilities.EducationBachelor's degree in Business Administration, Logistics, Supply Chain Management, International Business, or a related field.Preferred QualificationsMBA / PGDBA / PGDBM / MMS in Finance, International Business, Foreign Trade, or a related specialization.Alternatively, qualified Chartered Accountants (CAs) may also be considered.Key CompetenciesInternational Trade & Export DocumentationINCOTERMS & Customs ComplianceLetter of Credit (LC) HandlingShipping & Logistics CoordinationStakeholder ManagementRisk ManagementProblem-Solving & Decision-MakingAttention to DetailMIS Reporting & Data AnalysisStrong Written and Verbal Communication
