Job Description - Dispatch Supervisor

Reporting To: Warehouse Manager

Job Summary

The Dispatch Supervisor is responsible for overseeing and coordinating daily dispatch operations to ensure the timely, accurate, and efficient movement of goods. The role involves managing dispatch activities, supervising loading operations, coordinating with transporters and internal departments, maintaining dispatch records, and ensuring compliance with company policies and safety standards. The Dispatch Supervisor plays a key role in ensuring customer orders are dispatched accurately and delivered on time.

Key Responsibilities
- Supervise receipt, storage, and dispatch of goods.
- Maintain organised and accurate inventory records.
- Optimise warehouse and dispatch operations for maximum efficiency.
- Oversee loading and unloading activities and ensure proper labelling, storage, and dispatch of materials.
- Plan and coordinate daily dispatch schedules as per customer requirements and delivery commitments.
- Verify dispatch quantities, product specifications, and documentation before shipment.




- Generate and verify E-Way Bills, invoices, delivery challans, and other dispatch-related documents.
- Coordinate vehicle placement and dispatch schedules with transporters and drivers.
- Monitor vehicle movement and ensure timely delivery of goods.
- Coordinate with warehouse, procurement, production, sales, and transport teams for smooth operations.
- Perform ERP entries and maintain accurate dispatch records.
- Support freight cost monitoring and coordinate with transporters for effective dispatch planning.
- Follow up on customer deliveries and resolve dispatch-related issues or delays.
- Lead, train, and guide dispatch personnel to ensure smooth day-to-day operations.
- Monitor staff performance and enforce safety protocols and operational discipline.
- Conduct stock verification and resolve inventory discrepancies.
- Handle returns, damages, shortages, and other operational concerns.
