Job Purpose

The Coordinator will be responsible for coordinating day-to-day activities between customers, sales teams, suppliers, internal departments, and management to ensure smooth execution of orders, projects, quotations, documentation, and customer requirements.

Key Responsibilities
- Coordinate with the sales team, customers, suppliers, and internal departments for day-to-day activities.
- Prepare and maintain quotations, purchase orders, sales orders, invoices, delivery documents, and related records.
- Follow up with suppliers and internal teams regarding product availability, pricing, delivery schedules, and order status.
- Track customer enquiries and ensure timely submission of quotations and commercial/technical documents.
- Maintain an updated sales enquiry, quotation, order, and follow-up tracker.
- Coordinate with the accounts team regarding billing,



payment follow-ups, and outstanding payments.
- Coordinate logistics and ensure timely dispatch and delivery of materials.
- Follow up with customers for POs, payment status, delivery confirmation, and required documents.
- Assist the sales team in preparing MIS reports, sales forecasts, order status reports, and management reports.
- Maintain proper records of customer communications, documents, and correspondence.
- Coordinate meetings, customer visits, product demonstrations, and other business activities.
- Support the management and sales team in tender-related documentation and submission, wherever required.
- Ensure timely follow-up on pending activities and escalate critical issues to the concerned manager.
- Perform other coordination and administrative responsibilities assigned by management.
