Job Description: AI Operations & Project Coordination Executive

Role Overview

We are looking for a technology-friendly and highly organized executive who can use ChatGPT and other AI tools to complete documentation, research, data management, communication, coordination and follow-up tasks.

The candidate will maintain task sheets, execute AI-generated work, obtain necessary approvals and ensure that every assigned task is followed through to completion.

Key Responsibilities
- Use ChatGPT and other AI applications for daily work.
- Convert AI-generated content into documents, spreadsheets, presentations, emails and reports.
- Maintain task sheets, deadlines, priorities and completion status.
- Follow up with team members, vendors and external agencies.
- Identify tasks requiring management approval and obtain timely consent.
- Conduct online research and organize the findings.
- Prepare databases, contact lists and follow-up records.
- Draft emails, messages,



proposals and meeting summaries using AI.
- Schedule meetings and maintain calendars and reminders.
- Update CRM records and project dashboards.
- Organize files in Google Drive and shared folders.
- Coordinate with designers, accountants, legal professionals and software vendors.
- Provide regular summaries of completed, pending and delayed tasks.
- Maintain complete confidentiality of company information.

Required Skills
- Practical experience using ChatGPT or similar AI tools.
- Ability to write effective prompts and verify AI-generated output.
- Good knowledge of Microsoft Office and Google Workspace.
- Strong working knowledge of Excel and Google Sheets.
- Comfortable using PowerPoint, Canva and online research tools.
- Familiarity with CRM, Notion, Trello or similar software is preferred.
- Good written and spoken English and Hindi.
