Role Description The Warehouse Associate is a full-time, on-site role based in Vadodara. This role is responsible for receiving, unloading, and organizing incoming materials, as well as picking, packing, and preparing orders for shipment in accordance with company procedures.
The Warehouse
Associate will operate material handling equipment such as forklifts and pallet jacks, maintain accurate inventory records, and ensure that goods are stored and handled safely. Day-to-day tasks include labeling, staging shipments, conducting basic inspections of incoming and outgoing goods, and keeping the warehouse clean, orderly, and compliant with safety and pharmaceutical handling guidelines. The role involves working closely with logistics, production, and quality teams to support smooth warehouse operations and timely delivery.
Qualification:
- Minimum graduate.
- Diploma in Pharmacy, Logistics, Supply Chain, or related discipline will be preferred
Experience:
- 1–3 years of experience in a pharmaceutical finished goods warehouse or regulated manufacturing environment.
- Experience with ERP/pharma-cloude based warehouse operations will be preferred.
- Candidates with experience in finished product dispatch and inventory management will have an added advantage.
Key Responsibility:
A. Receipt of Finished Products
- Receive finished products from Production after completion of required documentation and QA-related requirements.
- Verify product name, batch number, manufacturing date, expiry date, quantity, pack configuration, and physical condition.
- Ensure finished products are properly labelled and identified.
- Verify transfer documents against physical quantities received.
- Ensure products are placed in the designated quarantine/hold area until appropriate QA release, where applicable.
- Report damaged cartons, missing labels, quantity discrepancies, or other abnormalities to the Warehouse Supervisor
B. Finished Product Storage
- Store finished products in designated locations according to approved storage conditions.
- Maintain proper segregation of quarantine, approved/released, rejected, returned, recalled, and other status products.
- Maintain batch-wise and product-wise segregation to prevent mix-ups.
- Follow FEFO (First Expiry, First Out) principles for product movement and dispatch.
- Ensure products are stored on appropriate pallets/racks with adequate clearance from walls and floors.
- Ensure storage areas remain clean, organized, and free from unauthorized materials.
- Monitor and record temperature and humidity as applicable.
- Immediately report any storage-condition excursion or abnormality.
C. Finished Product Inventory Control
- Maintain accurate physical and system inventory of finished products.
- Perform batch-wise stock verification and reconciliation.
- Support periodic physical stock counts and cycle counts.
- Investigate and report discrepancies between physical stock and ERP/SAP records.
- Ensure all stock movements are recorded accurately and on time.
- Maintain complete traceability of finished products from receipt to dispatch.
D. Vehicle loading and dispatch
- Verify the vehicle condition before loading as per approved procedure.
- Ensure the vehicle is clean, dry, suitable, and free from conditions that could affect product quality.
- Ensure products are loaded safely to prevent damage during transportation.
- Maintain proper product and batch segregation during loading.
- Verify dispatch quantities and documents before vehicle release.
- Ensure required temperature-control or transportation requirements are followed for applicable products.
- Coordinate with Dispatch, QA, Production Planning, and Logistics teams for timely dispatch.
Required Skill and Knowledge
- Basic knowledge of pharmaceutical warehouse operations.
- Understanding of GMP and GDP requirements.
- Knowledge of FEFO and batch-wise inventory management.
- Knowledge of finished product receipt, storage, picking, and dispatch.
- Basic understanding of product status control and segregation.
- Basic computer and ERP/SAP knowledge.
- Good documentation and record-keeping skills.
- Good communication and coordination skills.
- Ability to identify discrepancies and escalate issues promptly.
