Qualification: Postgraduate degree required

Experience: Minimum 7 years in Human Resources and Administration

SERAP India is looking for an experienced Senior HR & Administration Manager to lead the company’s human resources, employee relations, statutory compliance, administration and facility-management activities.

The successful candidate will supervise the Admin Executive, coordinate key external service providers and contribute to the company’s development as a member of the Management Steering Committee.

KEY RESPONSIBILITIES

Human resources management

- Manage the complete recruitment cycle, joining formalities and employee induction.
- Prepare appointment letters, agreements and employee documentation, and maintain complete personnel records.
- Implement, monitor and support the revision of HR policies while ensuring discipline and policy adherence.
- Coordinate payroll for permanent and contract employees, leave and attendance records, benefits, compensation surveys and full-and-final settlements.
- Identify training needs with Heads of Department, organize training programs and maintain the employee skill matrix and competency records.
- Participate in performance-appraisal processes and support employee development planning.

Employee relations and work environment
- Handle employee grievances promptly, fairly and confidentially.
- Meet employees regularly to understand concerns and feedback and build a strong relationship of trust.
- Support management in maintaining a healthy, respectful, positive and motivating company culture.
- Identify behavioural or organizational issues and report them appropriately to management.

Employee engagement and company events
- Plan and coordinate employee-engagement, recognition and welfare activities.
- Organize company events, including the annual get-together, festival celebrations and team-engagement activities.
- Coordinate event logistics, internal communication, vendors and arrangements.





International Manpower Coordination – India to France
- Manage the recruitment and selection of Indian employees assigned to work at SERAP Industries in France.
- Coordinate with SERAP Industries in France regarding manpower requirements, candidate profiles, selection and deployment schedules.
- Organize and monitor the employees’ training within SERAP India before their assignment to France.
- Manage the administrative and documentary process required for their deployment, including employment documents, supporting documents, visas, work permits and travel-related formalities.
- Ensure regular communication between the selected employees, SERAP India and SERAP Industries throughout the recruitment, training and deployment process.
- Maintain complete and accurate records for each employee assigned to France and follow up on all pending administrative actions.

- ISO audits and HR-Administration audit management

- Participate in internal and external ISO audits and prepare all required HR and Administration documentation.
- Maintain audit records, registers and supporting documents with appropriate document control and retention.
- Coordinate with auditors and departments and monitor the closure of HR-Administration audit observations.

Statutory compliance and government liaison
- Ensure compliance with applicable labour laws and statutory regulations.
- Liaise with government departments regarding registrations, renewals, inspections, approvals and legal documentation.
- Coordinate with HR consultants and company lawyers and follow up statutory submissions and compliance actions.

Administration and facility management

- Manage and supervise all administration activities and prepare administrative records, MIS and reports.
- Supervise a team of 16 members: the Admin Executive and monitor housekeeping, security, drivers and canteen services.
- Coordinate visitors from France, including schedules, airport pickup, accommodation and local support.
- Manage company guest-house operations,



maintenance and readiness for official visits.
- Handle HR- and Administration-related purchases and coordinate vendors for uniforms, stationery, housekeeping, canteen, security and office requirements.
- Maintain office equipment, furniture, facilities and records of company assets issued to employees.
- Coordinate factory garden and premises maintenance and ensure the cleanliness and overall appearance of the factory setting.

Management support and communication

- Prepare circulars, notices and employee communications.
- Assist with registrations, licences, official applications, data compilation and management reports.
- Ensure smooth communication between the India and France management teams.
- Assist in organizing meetings, agendas and official visits.

Steering Committee participation

- Act as a member of the Company Steering Committee and participate in weekly and monthly meetings.
- Contribute to improvement initiatives related to people, administration, safety and workplace culture.
- Follow up on Steering Committee action points.

CANDIDATE PROFILE

- Postgraduate qualification is required.
- Minimum 7 years of relevant experience in Human Resources and Office Administration.
- Strong practical knowledge of recruitment, payroll coordination, employee relations, labour-law compliance and general administration.
- Experience in a manufacturing or industrial environment is strongly preferred.
- Experience supervising employees and third-party service providers.
- Excellent communication skills in English, Hindi and Gujarati, French would be a plus.
- Proficiency in Microsoft Office, internet tools and standard business software.
- Ability to work independently and collaboratively within a management team.
- High degree of discretion when handling confidential information.
