About The Role

We are seeking a highly organized, proactive, and dependable professional to join our team as an HR, Operations & Executive Secretary. This multifaceted role is vital in supporting the leadership team by managing human resources functions, streamlining office operations, and providing executive-level administrative assistance. The successful candidate will be instrumental in ensuring the smooth functioning of daily business activities, maintaining compliance with legal and organizational standards, and facilitating effective communication within and outside the organization.

This position offers an excellent opportunity for a energetic individual to contribute to a growing healthcare company while developing a broad skill set across HR, operations, and executive support domains.

Qualifications The ideal candidate should possess a bachelor’s degree in Human Resources, Business Administration, or a related field. Prior experience of at least 3-5 years in HR management, office operations, and executive secretarial roles is preferred. A comprehensive understanding of Indian labor laws and HR processes is essential.

Candidates should demonstrate proficiency in Microsoft Office Suite, with familiarity in HRMS/ERP systems being advantageous.



Strong organizational skills, attention to detail, excellent communication abilities, and the capacity to handle sensitive information with discretion are critical for success in this role. A proactive attitude, problem-solving skills, and the ability to multitask effectively in a fast-paced environment are also required.

Responsibilities

Human Resources: Manage end-to-end recruitment processes, including posting job openings, screening candidates, coordinating interviews, and onboarding new employees. Maintain accurate employee records, attendance, leave management, and HR databases. Collaborate with finance to ensure timely payroll processing and support employee engagement initiatives, performance management, and training programs.

Ensure compliance with labor laws, statutory requirements, and organizational policies. Handle employee queries professionally, maintaining confidentiality at all times.

Operations: Oversee day-to-day administrative and operational activities to ensure seamless workflow across departments. Monitor office functions, coordinate with clinical, administrative, and support teams to optimize operational efficiency. Maintain operational records, generate reports, and develop dashboards for management review.

Liaise with vendors, service providers, and facility management to ensure smooth operational support. Support internal audits, quality initiatives, and regulatory compliance activities.



Identify opportunities for process improvements and implement best practices to enhance operational effectiveness.

Executive Secretary: Manage calendars, schedule appointments, and coordinate travel arrangements for senior management. Organize meetings, prepare agendas, record minutes, and track follow-up actions. Draft official correspondence, reports, presentations, and letters.

Maintain confidentiality of sensitive documents and executive records. Facilitate communication between management, employees, clients, and external stakeholders. Assist with special projects, strategic initiatives, and other tasks assigned by senior leadership to support organizational goals.
