About the Role
We are looking for a proactive, organised and people-oriented HR Executive / HR & Administration Executive to manage the day-to-day Human Resources functions of a growing company engaged in the distribution and marketing of medical equipment and healthcare consumables from reputed national and international brands.
The candidate will be responsible for the complete employee lifecycle, including recruitment, onboarding, attendance, leave management, payroll coordination, statutory compliance, performance management, employee engagement, training and HR administration.
The role requires strong coordination with Management and different functional teams including Sales, Service, Accounts, Logistics, Marketing and Administration.
Key Responsibilities1. Recruitment & Talent Acquisition
- Understand manpower requirements in consultation with Management and Department Heads.
- Manage recruitment for positions across Sales, Service/Technical, Accounts, Logistics, Marketing, Administration and other departments.
- Source candidates through job portals, professional networks, referrals, recruitment agencies and other appropriate channels.
- Screen resumes and conduct preliminary HR interviews.
- Coordinate technical and final interviews with the respective Department Heads and Management.
- Conduct reference and background verification wherever required.
- Prepare and issue offer letters and coordinate salary negotiations and joining formalities.
- Maintain an updated recruitment tracker and candidate database.
- Build a pipeline of suitable candidates for critical and recurring positions.
2. Employee Onboarding & Documentation
- Manage the complete onboarding process for new employees.
- Collect and verify employee documents and maintain complete personnel files.
- Issue appointment letters, employment contracts, confidentiality agreements and other HR documents.
- Conduct HR induction and orientation for new employees.
- Coordinate departmental induction and product training with the concerned teams.
- Ensure employees understand company policies, reporting structures, working hours, leave procedures and expected standards of conduct.
- Maintain updated employee master data and HR records.
3. Attendance & Leave Management
- Monitor daily attendance, punctuality and absenteeism.
- Maintain leave records and ensure proper approval and documentation of employee leave.
- Track late coming, early leaving, loss of pay and other attendance-related matters.
- Coordinate attendance requirements of office-based, field and sales employees.
- Prepare monthly attendance and leave reports for payroll processing and Management review.
4. Payroll Coordination
- Prepare and verify monthly payroll inputs including:
- Attendance
- Leave
- Loss of Pay
- New Joiners
- Resignations
- Salary Revisions
- Incentives
- Reimbursements
- Deductions
- Coordinate with the Accounts/Finance team for timely payroll processing.
- Maintain salary records and employee compensation details confidentially.
- Address employee queries relating to salary, deductions, attendance and advantages.
5. Statutory & HR Compliance
- Ensure adherence to applicable labour laws and statutory requirements.
- Coordinate compliance relating to Provident Fund (PF), ESI, Professional Tax and other applicable statutory requirements.
- Maintain statutory and employee records required for audits and inspections.
- Coordinate with consultants, auditors and government authorities wherever required.
- Keep Management informed about important changes in employment-related statutory requirements.
6. Performance Management
- Coordinate periodic employee performance reviews and appraisals.
- Work with Department Heads to establish clear roles, responsibilities and performance expectations.
- Maintain performance review records and follow up on agreed action points.
- Support Management in identifying high performers, training requirements and performance gaps.
- Coordinate Performance Improvement Plans (PIP) wherever required.
- Maintain records of promotions, increments, transfers and role changes.
7. Learning & Development
- Identify employee training requirements in consultation with Department Heads.
- Coordinate induction and product training for Sales and Service teams.
- Maintain training calendars and employee training records.
- Coordinate behavioural, communication, sales and professional-development programmes wherever required.
- Support initiatives for continuous employee learning and development.
8. Employee Relations & Engagement
- Act as a point of contact for employees on HR-related matters.
- Maintain positive and professional employee relations.
- Address employee concerns and grievances appropriately and confidentially.
- Plan and coordinate employee engagement activities, celebrations, recognition programmes and internal events.
- Support Management in building a professional, disciplined and performance-oriented work culture.
9. HR Policies & Procedures
- Assist Management in developing and implementing HR policies and procedures.
- Ensure employees are aware of and adhere to company policies.
- Maintain updated HR manuals, employee records and policy documentation.
- Prepare HR circulars, notices, announcements and internal communication.
- Ensure disciplinary matters are appropriately documented and handled in accordance with company policy.
10. Exit Management
- Manage employee resignation and separation procedures.
- Conduct exit interviews and document employee feedback.
- Coordinate notice-period requirements and handover procedures.
- Ensure company assets, documents, ID cards, devices and other materials are returned.
- Coordinate Full & Final Settlement with Accounts.
- Issue relieving and experience letters after completion of applicable formalities.
- Maintain attrition and exit records for Management review.
11. HR MIS & Reporting
Prepare periodic HR reports covering:
- Employee Headcount
- Recruitment Status
- Vacancies
- Attendance
- Leave
- Employee Turnover
- New Joiners
- Separations
- Training
- Performance Reviews
- Payroll Inputs
- Employee Engagement
Provide Management with timely HR information and reports to support manpower planning and decision-making.
12. HR & General Administration
- Coordinate employee ID cards, access, stationery and other joining requirements.
- Maintain employee files and confidential HR documentation.
- Coordinate with Administration, Accounts and other departments on employee-related requirements.
- Assist with office events, meetings and internal programmes.
- Support Management with other HR and administrative responsibilities as required.
Educational Qualification
- MBA / PGDM in Human Resources preferred.
- Graduates with a recognised qualification in HR and relevant practical experience may also be considered.
Experience
- Minimum 3–5 years of relevant HR experience preferred.
- Candidates with hands-on experience independently managing core HR operations will be preferred.
- Experience in Medical Equipment, Healthcare, Pharmaceuticals, Distribution, FMCG or other sales-driven organisations will be an added advantage.
