The HR & Admin Executive will be responsible for managing and supporting the day-to-day Human Resources and Administration functions of House of Atharva. The role will handle recruitment, employee onboarding, attendance and leave management, employee relations, HR documentation, HR policies, administrative activities, and coordination with various departments.

The position requires a proactive, people-oriented and organized professional who can ensure smooth HR operations while maintaining professional standards, confidentiality, fairness, discipline, and compliance with company policies and applicable statutory requirements.

- Key ResponsibilitiesA. Recruitment & Talent Acquisition

- Manage end-to-end recruitment for various positions across the organization.
- Understand manpower requirements from different departments and coordinate with respective department heads.
- Prepare and update Job Descriptions as per business requirements.
- Source candidates through job portals, social media, professional networks, employee referrals, consultants and other relevant channels.
- Screen resumes and conduct initial telephonic/virtual interviews.
- Coordinate interview schedules with management and department heads.
- Maintain recruitment trackers and candidate databases.
- Coordinate salary discussions, reference checks and selection formalities.
- Prepare and coordinate offer letters, appointment letters and joining documentation.
- Ensure timely closure of open positions as per approved manpower requirements.
- Maintain a professional and positive candidate experience throughout the recruitment process.

B. Employee Onboarding & Induction
- Manage complete joining formalities for new employees.
- Collect and verify required employee documents.
- Create and maintain employee personnel files and HR records.
- Conduct or coordinate employee induction and orientation.
- Explain company policies, attendance rules, leave policies, code of conduct and other HR procedures.
- Coordinate with relevant departments for ID cards, email IDs, system access and other joining requirements.
- Ensure new employees are properly introduced to their teams and reporting managers.

C. Attendance & Leave Management
- Monitor and maintain daily employee attendance.
- Manage attendance through biometric, HRMS or other attendance systems.
- Track late coming, early leaving, absenteeism, overtime and other attendance irregularities.
- Maintain accurate leave records and leave balances.
- Coordinate with employees and reporting managers regarding leave applications and approvals.
- Follow up on unauthorized absence and attendance discrepancies.
- Prepare monthly attendance reports and provide accurate inputs for payroll processing.
- Ensure employees follow the company's attendance and leave policies consistently.

D. Employee Relations & Grievance Handling
- Act as the first point of contact for employees regarding HR-related queries and concerns.
- Listen to and address employee grievances professionally, fairly and confidentially.
- Handle employee issues related to attendance, leave, workplace behaviour, communication, reporting relationships and company policies.
- Coordinate with department heads and management for resolution of employee-related matters.




- Support conflict resolution and maintain a healthy and professional workplace environment.
- Maintain proper documentation of significant employee issues and actions taken.
- Escalate sensitive or serious matters to management/HR leadership wherever required.
- Maintain confidentiality of employee information and HR matters.

E. HR Policies & Processes
- Implement and communicate HR policies and procedures across the organization.
- Ensure employees understand and follow company rules, policies and code of conduct.
- Assist in developing, reviewing and updating HR policies based on organizational requirements.
- Ensure HR practices are consistent, transparent and aligned with professional corporate standards.
- Maintain proper HR documentation and records for all policies and processes.
- Support management in implementing disciplinary procedures where required.

F. Employee Lifecycle Management
- Maintain employee records from joining through separation.
- Track probation periods and coordinate confirmation processes.
- Maintain records of promotions, transfers, salary revisions and other employee movements.
- Support performance appraisal and review processes.
- Coordinate employee exit formalities and exit interviews.
- Ensure proper handover, clearance and documentation during employee separation.
- Coordinate with Finance/Accounts for full & final settlement inputs wherever required.
- Issue relevant employment-related letters and documents.

G. Payroll & HR Coordination
- Prepare and verify monthly attendance, leave, overtime and other HR inputs required for payroll.
- Coordinate with the Finance/Accounts or payroll team for timely salary processing.
- Assist in resolving employee salary and payroll-related queries.
- Maintain accurate employee salary-related records and changes.
- Ensure all payroll inputs are submitted accurately and within timelines.

H. HR Administration
- Maintain employee files, HR registers, databases and HRMS records.
- Maintain both physical and digital HR documentation.
- Prepare HR letters, notices, memos, certificates and other employee-related documents.
- Maintain HR MIS and prepare regular reports for management.
- Coordinate internal HR communications and announcements.
- Support employee engagement activities, celebrations and welfare initiatives.
- Coordinate HR meetings, training programs and employee activities.
- Maintain confidentiality and security of HR records.

I. General Administration
- Handle day-to-day office administration activities as assigned.
- Coordinate with vendors, service providers and facility management wherever required.
- Monitor office requirements such as stationery, housekeeping, maintenance and other administrative needs.
- Support management in ensuring a clean, safe, professional and employee-friendly workplace.
- Coordinate administrative requirements between different departments.




- Maintain appropriate records of administrative activities and expenses.
- Ensure company assets, facilities and resources are properly managed.

J. Compliance & Skilled HR Standards
- Ensure HR processes are aligned with applicable labour laws and statutory requirements.
- Maintain appropriate HR records and documentation for audits and compliance reviews.
- Coordinate with external consultants or statutory agencies wherever required.
- Support compliance related to applicable employee benefits and statutory requirements such as PF, ESI, Professional Tax, gratuity and other applicable regulations.
- Ensure workplace practices are aligned with company policies and professional HR standards.
- Support management in maintaining a fair, respectful and compliant work environment.

K. HR Reporting & MIS

Prepare and maintain regular HR reports, including:

- Employee headcount
- Recruitment status
- Open positions
- New joiners
- Employee exits
- Attendance and absenteeism
- Leave status
- Employee movements
- Payroll inputs
- Attrition/turnover
- Employee grievances
- HR activities and engagement
- Other HR MIS required by management

3. Key Skills & Competencies
- Good knowledge of HR operations and recruitment processes.
- Strong understanding of attendance and leave management.
- Positive employee relationship and grievance-handling skills.
- Excellent verbal and written communication.
- Strong interpersonal and coordination skills.
- Good knowledge of MS Excel, Word and PowerPoint.
- Familiarity with HRMS/attendance management systems.
- Strong documentation and record-keeping skills.
- Ability to maintain confidentiality.
- Problem-solving and decision-making ability.
- Strong organizational and time-management skills.
- Ability to handle multiple tasks and work with different departments.
- Professional, approachable and employee-friendly attitude.

4. Qualification & Experience

Education: Bachelor's degree in Human Resources, Business Administration, Commerce or a related field. MBA/PGDM in HR will be an added advantage.

Experience: 2–5 years of relevant experience in HR & Administration, preferably in a growing organization.

The performance of the HR & Admin Executive may be evaluated on:

- Timely closure of recruitment requirements.
- Accuracy of attendance and leave records.
- Timely and accurate payroll inputs.
- Timely completion of employee joining and exit formalities.
- Employee grievance resolution and response time.
- Accuracy and completeness of HR documentation.
- Timely submission of HR MIS and reports.
- Employee engagement and workplace support.
- Compliance with HR policies and applicable statutory requirements.
- Overall efficiency of HR and administrative operations.

6. Ideal Candidate Profile The ideal candidate should be proactive, mature, approachable, disciplined and highly organized, with the ability to independently manage day-to-day HR and administrative responsibilities.

The candidate should be comfortable interacting with employees at all levels and should demonstrate confidentiality, fairness, professionalism and strong ownership while handling employee-related matters.

Pay: ₹25,000.00 - ₹35,000.00 per month
