Job Title: Facility Executive

Department: Administration & Facilities

Reports To: Facility Manager / Operations Manager

Employment Type: Full-Time

Experience: 2–5 Years

Location: As Assigned

Job Summary The Facility Executive is responsible for ensuring the smooth day-to-day functioning of the office and maintaining a safe, clean, and efficient workplace. The role includes managing housekeeping, security, office maintenance, vendor coordination, utilities, office assets, and administrative support to provide employees, students, and visitors with a well-maintained environment.

Key ResponsibilitiesFacility Management

- Ensure the office premises, classrooms, training labs, meeting rooms, and common areas are clean, secure, and well-maintained.
- Conduct daily inspections of the facility and identify maintenance requirements.
- Coordinate preventive and corrective maintenance activities.
- Ensure proper functioning of electrical systems, lighting, air conditioning, plumbing, furniture, and office equipment.
- Monitor office hygiene and cleanliness standards.

Vendor Management
- Coordinate with housekeeping, security, electricians, plumbers, internet providers, and other service vendors.
- Obtain quotations, compare vendors, and coordinate service requests.
- Monitor vendor performance and ensure timely completion of work.
- Verify vendor invoices before processing for payment.

Asset Management
- Maintain records of office assets and equipment.
- Track issuance and return of laptops, desktops, projectors, biometric devices, ID cards, access cards, and other office assets.
- Coordinate annual asset verification and physical audits.
- Report damaged or missing assets to management.

Office Administration




- Ensure availability of office supplies, stationery, pantry items, and housekeeping materials.
- Coordinate seating arrangements for employees and trainers.
- Manage meeting room bookings and office logistics.
- Support office events, employee engagement activities, and training sessions.

Safety & Compliance
- Ensure compliance with workplace safety guidelines.
- Coordinate fire safety equipment inspections and maintenance.
- Monitor CCTV, access control systems, and visitor management.
- Report safety hazards and recommend corrective actions.
- Coordinate emergency response procedures when required.

Utility & Maintenance Management
- Monitor electricity, water, internet, telephone, and generator services.
- Coordinate repairs to office infrastructure.
- Track maintenance schedules and annual maintenance contracts (AMCs).
- Minimize downtime of office facilities.

Employee & Student Support
- Address facility-related complaints promptly.
- Ensure classrooms and training infrastructure are ready before sessions.
- Coordinate with HR and Operations for employee onboarding logistics.
- Support branch operations to ensure uninterrupted business activities.

Documentation & Reporting
- Maintain maintenance logs and service records.
- Prepare monthly facility and maintenance reports.
- Track facility expenses and budget utilization.




- Maintain vendor agreements, AMC records, and service documentation.

- Facility uptime and maintenance completion rate.
- Resolution time for facility complaints.
- Office cleanliness and hygiene standards.
- Asset management accuracy.
- Vendor service quality and turnaround time.
- Utility cost optimization.
- Compliance with safety standards.
- Employee and student satisfaction with facilities.
- Preventive maintenance completion rate.
- Budget adherence.

Required SkillsTechnical Skills

Educational Qualification

- Diploma/Degree in Facility Management or Administration is an added advantage.

Experience
- 2–5 years of experience in Facility Management, Administration, Office Operations, or Workplace Management.
- Experience in an EdTech company, educational institution, corporate office, or commercial establishment is preferred.
