Job Purpose
Responsible for managing end-to-end procurement activities for EPC projects, ensuring timely availability of materials, equipment, and services at the right quality, quantity, cost, and delivery schedule. The role involves vendor development, commercial negotiations, purchase orders, expediting, and coordination with project, engineering, stores, finance, and vendors.
Key Responsibilities
- Procurement Planning
- Review project BOQ, material requirements, procurement schedules, and approved material requisitions.
- Develop procurement plans aligned with project execution schedules.
- Identify critical and long-lead items and ensure timely procurement.
- Vendor Management
- Identify, evaluate, and develop recent vendors/suppliers.
- Float RFQs/RFPs and obtain competitive quotations.
- Maintain an updated vendor database and performance records.
- Monitor vendor delivery, quality, and commercial performance.
- Purchase & Commercial Activities
- Prepare and process Purchase Orders/Work Orders as per company procedures.
- Evaluate technical and commercial offers in coordination with concerned departments.
- Conduct price negotiations, commercial negotiations, and finalize suppliers.
- Ensure compliance with approved budgets and procurement policies.
- Material Expediting
- Track order status from PO placement through manufacturing, inspection, dispatch, and delivery.
- Coordinate with vendors to ensure timely delivery at project sites.
- Follow up on delayed/critical materials and escalate potential project impacts.
- Project Coordination
- Coordinate with Engineering, Planning, Construction, Stores, QA/QC, Finance, and Project teams.
- Understand project priorities and arrange procurement accordingly.
- Participate in procurement review meetings and provide status updates.
- Cost Control
- Obtain multiple quotations and ensure competitive procurement.
- Analyze market prices and identify cost-saving opportunities.
- Support value engineering and alternate-source development.
- Monitor procurement against approved budgets.
- Quality & Compliance
- Ensure procurement is carried out as per approved technical specifications and quality requirements.
- Coordinate inspections with QA/QC and third-party inspection agencies wherever required.
- Ensure proper documentation, approvals, and audit compliance.
- Documentation & MIS
- Maintain RFQs, comparative statements, negotiation records, POs, vendor documents, and procurement trackers.
- Prepare weekly/monthly procurement MIS and management reports.
- Maintain records of pending orders, deliveries, and critical procurement items.
- Payment & Commercial Coordination
- Coordinate with Finance/Accounts regarding vendor invoices and payment status.
- Resolve vendor commercial issues related to POs, invoices, deductions, and claims.
- Support reconciliation of vendor accounts where required.
- Team Management
- Guide and supervise Procurement Executives/Engineers and other team members.
- Allocate procurement activities and monitor performance.
- Ensure adherence to procurement SOPs and timelines.

Depending on the EPC project, the position may handle procurement of:
- Civil construction materials
- Mechanical equipment and packages
- Electrical materials and equipment
- Pipes, valves, pumps, and fittings
- Instrumentation and automation items
- MEP materials
- Construction equipment and consumables
- Subcontracting/services
- Project-specific long-lead equipment
Required Qualification
- Bachelor's degree in Engineering, Supply Chain, Procurement, Commerce, or related discipline.
- MBA/PG Diploma in Supply Chain Management / Procurement / Materials Management would be an advantage.
Experience
- 6–10 years of relevant experience in Procurement / Purchase / Supply Chain.
- Experience in EPC, Infrastructure, Water Treatment, Industrial, or Construction projects preferred.
- Strong experience in project procurement and vendor management.
