Job Purpose To manage day-to-day accounting, taxation, GST compliance, project and retail billing, receivables/payables, vendor/customer reconciliation, statutory compliance, and financial documentation of the company.
The candidate should have practical experience in retail as well as project-based business, with good knowledge of GST, TDS, Income Tax and other applicable government rules and statutory compliances.
Key Responsibilities
- Day-to-Day Accounting
- Maintain complete and accurate books of accounts.
- Record sales, purchases, expenses, receipts, payments, journal entries, and other accounting transactions.
- Maintain cash book, bank book, ledger accounts, and general accounting records.
- Prepare and maintain customer and vendor ledgers.
- Ensure proper accounting of all business transactions on a timely basis.
- Handle accounting through Tally/ERP/Accounting Software and MS Excel.
- Retail Accounting & Billing
- Manage day-to-day retail sales billing and accounting.
- Prepare sales invoices, credit notes, debit notes, delivery challans, and other required documents.
- Verify sales invoices with customer orders and material dispatch details.
- Maintain daily sales and collection records.
- Reconcile retail sales, cash/UPI/bank collections, and accounting records.
- Monitor outstanding retail customer payments.
- Project Accounting & Billing
- Handle accounting and billing related to project-based orders.
- Prepare project invoices as per Purchase Orders, work orders, milestones, and agreed payment terms.
- Maintain project-wise sales, purchase, expenses, and profitability records.
- Track project advances, running bills, retention amounts, security deposits, and pending payments.
- Coordinate with the Sales/Project Team for billing requirements and supporting documents.
- Monitor project-wise receivables and follow up for timely payment realization.
- GST Compliance & Filing
- Prepare and file GSTR-1, GSTR-3B and other applicable GST returns within prescribed timelines.
- Reconcile purchase data with GSTR-2B and ensure eligible Input Tax Credit (ITC) is properly accounted for.
- Verify GST applicability, HSN/SAC, GST rates, and tax calculations on invoices.
- Handle GST-related reconciliations and identify mismatches.
- Maintain proper GST records and supporting documents.
- Assist in responding to GST notices, queries, and departmental communications.
- Maintain knowledge of applicable GST rules, notifications, amendments, and compliance requirements.
- Coordinate with CA/Tax Consultant wherever required.
- TDS & Income Tax Compliance
- Calculate and account for applicable TDS deductions.
- Prepare and file applicable TDS returns within the prescribed timelines.
- Issue TDS certificates and maintain proper TDS records.
- Reconcile TDS deducted/collected with books and government records.
- Assist in Income Tax-related compliance and documentation.
- Coordinate with the CA/Tax Consultant for Income Tax returns, assessments, notices, and other requirements.
- Accounts Receivable & Payment Follow-up
- Maintain customer outstanding and ageing reports.
- Monitor payment due dates as per customer PO/payment terms.
- Coordinate with Sales Team for payment follow-up.
- Prepare customer-wise outstanding statements.
- Reconcile customer ledgers and resolve discrepancies.
- Maintain records of customer advances, deductions, retention, and other adjustments.
- Accounts Payable & Vendor Management
- Verify vendor invoices against Purchase Orders and received materials/services.
- Maintain vendor ledgers and outstanding reports.
- Reconcile vendor accounts and resolve discrepancies.
- Track supplier payment due dates and coordinate with management/accounts team.
- Ensure proper TDS/GST treatment on vendor invoices.
- Maintain records of advances paid to suppliers and their adjustments.
- Bank & Cash Management
- Maintain daily bank and cash transactions.
- Perform regular bank reconciliation.
- Monitor bank receipts and payments.
- Maintain petty cash records and supporting documents.
- Coordinate with management for payment processing and fund requirements.
- Ensure proper authorization and documentation of payments.
- Government & Statutory Compliance The candidate should have practical knowledge of applicable government compliance requirements, including:
- GST compliance and returns.
- TDS compliance and returns.
- Income Tax-related requirements.
- E-Invoice and E-Way Bill requirements.
- Professional Tax, if applicable.
- PF/ESI coordination, if applicable.
- MSME-related payment/compliance requirements, where applicable.
- Maintenance of statutory records and supporting documents.
- Handling government/departmental notices and coordinating with consultants.
- Keeping updated with changes in applicable government rules, notifications, and policies.
- Reconciliation & Audit Support
- Perform customer, vendor, bank, GST, TDS, and ledger reconciliations.
- Identify accounting discrepancies and ensure timely correction.
- Prepare schedules and supporting documents for statutory and internal audits.
- Coordinate with CA, auditor, GST consultant, and other professional advisors.
- Provide required financial and statutory information during audits and assessments.
- MIS & Management Reporting
Prepare regular reports such as:
- Sales Report.
- Purchase Report.
- Customer Outstanding / Ageing Report.
- Vendor Outstanding Report.
- Cash & Bank Position.
- GST/Tax Liability Report.
- Project-wise Receivable Report.
- Project-wise Expense & Profitability Report.
- Monthly Expense Report.
- Pending Billing & Collection Report.
- Other financial MIS required by management.
Required Qualification
- B.Com / M.Com preferred.
- CA Inter / CMA Inter candidates may also be considered.
- Practical accounting experience in retail, trading, distribution, or project-based business preferred.
- Good working knowledge of Tally/ERP, MS Excel and MS Office.
Required Experience
2–5 years of relevant experience in accounting and taxation.
Experience in an organization dealing with industrial products, electrical products, trading, distribution, project supplies, panels, motors, drives, automation products, or engineering services will be an advantage.

Preferred Candidate Profile The ideal candidate should not be limited to data entry or basic accounting. He/She should be capable of independently handling the company's day-to-day accounts, GST compliance, taxation coordination, retail billing, project billing, receivables, payables, reconciliations, and statutory documentation.
The candidate should also keep himself/herself updated with changes in GST, Income Tax, TDS and other applicable government rules, notifications, and compliance requirements.
