The Pharmacy Manager will be responsible for the overall management and smooth functioning of the hospital pharmacy, including medicine procurement, inventory management, dispensing operations, staff supervision, billing coordination, compliance, and ensuring safe and efficient pharmacy services.

- 2. Key ResponsibilitiesPharmacy OperationsManage the day-to-day operations of the hospital pharmacy.
- Ensure medicines are dispensed accurately and only against valid prescriptions.
- Ensure proper storage and handling of medicines as per required standards.
- Maintain cleanliness, discipline, and proper organization of the pharmacy.
- Ensure availability of essential and frequently used medicines.
- Inventory ManagementMonitor stock levels and maintain optimum inventory.
- Conduct regular physical stock verification and reconcile discrepancies.
- Monitor near-expiry and expired medicines and ensure they are properly segregated.
- Ensure FEFO (First Expiry, First Out) is followed.
- Maintain proper records of stock receipts, issues, returns, damages, and expiries.
- Coordinate with the purchase/accounts team for timely procurement.
- Expiry & Medication SafetyConduct regular checks for expired and near-expiry medicines.
- Ensure expired medicines are immediately removed from saleable stock and properly segregated.
- Ensure no expired, damaged, or unauthorized medicine is dispensed to patients.
- Report any medication-related incident immediately to management.
- Staff ManagementSupervise pharmacists and pharmacy assistants.
- Prepare and monitor duty schedules and shift allocation.
- Ensure staff follow hospital rules, pharmacy protocols,



and professional standards.
- Conduct regular training and orientation for pharmacy staff.
- Monitor staff attendance, punctuality, performance, and discipline.
- Billing & Financial ControlEnsure accurate billing of medicines and pharmacy products.
- Monitor pharmacy sales and daily collection records.
- Coordinate with Accounts for reconciliation of pharmacy transactions.
- Prevent unauthorized discounts, billing errors, wastage, and financial discrepancies.
- Submit daily/monthly pharmacy sales and stock reports as required.
- Compliance & DocumentationMaintain all pharmacy registers, records, invoices, purchase documents, and stock records properly.
- Ensure compliance with applicable pharmacy, drug-control, hospital, and NABH-related requirements.
- Ensure prescriptions, controlled medicines, and other regulated items are handled according to applicable regulations.
- Support internal and external audits and inspections.
- 3. Key Performance Indicators (KPIs)Pharmacy sales and revenue performance.
- Stock accuracy and inventory control.
- Reduction in expired and damaged stock.
- Zero dispensing of expired medicines.
- Availability of essential medicines.
- Accuracy of pharmacy billing.
- Timely submission of pharmacy reports.




- Staff attendance, discipline, and productivity.
- Compliance with pharmacy SOPs and hospital policies.
- Patient service and complaint resolution.
- 4. QualificationsB.Pharm / M.Pharm preferred.
- Valid registration with the applicable State Pharmacy Council.
- Minimum 3–5 years of relevant pharmacy experience, preferably in a hospital pharmacy.
- Experience in pharmacy inventory and staff management is preferred.
- Knowledge of pharmacy billing and inventory software is desirable.
- 5. Skills & CompetenciesStrong knowledge of pharmacy operations and inventory management.
- Good leadership and team-management skills.
- Good communication and interpersonal skills.
- Strong attention to detail.
- Ability to identify and prevent medication and inventory errors.
- Good computer and reporting skills.
- Ability to work under pressure and manage multiple responsibilities.
- Robust understanding of discipline, confidentiality, and patient safety.

6. Reporting & CoordinationThe Pharmacy Manager will coordinate with:

- CAO / Executive Director
- Doctors
- Nursing Department
- Accounts Department
- Purchase Department
- HR Department
- Other Hospital Departments

7. General ResponsibilitiesThe Pharmacy Manager shall comply with all hospital policies, SOPs, safety standards, confidentiality requirements, and instructions issued by the management. Any negligence, unauthorized dispensing, stock manipulation, failure to maintain records, or violation of pharmacy protocols may result in disciplinary action as per hospital policy.
