Virtual Compliance Assistant – NDISAbout the Role

Job Timings: 4:30 am - 1:30 pm IST

We are looking for a Virtual Compliance Assistant to support our Compliance Coordinator with the administration, documentation, and ongoing maintenance of NDIS participant compliance records.

This is a remote administrative support role suited to someone who is highly organised, detail-oriented, comfortable working with confidential information, and able to follow policies, templates, and compliance checklists accurately.

You will work under the direction of the Compliance Coordinator and will not be responsible for making independent compliance decisions.

Key Responsibilities

- Prepare and maintain NDIS participant compliance documentation using approved templates.
- Review participant files to identify missing, incomplete, or inconsistent information.
- Maintain compliance registers, checklists, spreadsheets, and electronic records.
- Monitor document expiry dates, review dates, and outstanding requirements.
- Assist with routine compliance checks and documentation reviews.
- Maintain accurate document version control and ensure current templates are used.
- Prepare documents for review, approval, signing, or implementation.
- Assist with compliance reports, summaries, action lists, and meeting notes.
- Follow up outstanding documentation with staff as directed.
- Maintain organised and secure electronic participant files.
- Escalate compliance gaps, inconsistencies, risks, or safeguarding concerns to the Compliance Coordinator.
- Ensure participant information is handled confidentially and securely.





Document Quality Checks Before submitting documentation for review, you will be expected to check:
- Participant details and dates are accurate.
- Correct templates have been used.
- Required sections are completed.
- Information is consistent across documents.
- Supporting evidence has been included where required.
- Spelling, grammar, formatting, and presentation are professional.
- Missing information or uncertainties are clearly highlighted.

About You The ideal candidate will have:
- Excellent attention to detail.
- Robust written and verbal communication skills.
- Good understanding of administrative and documentation processes.
- Strong organisational and file-management skills.
- Ability to work independently in a remote environment.
- Good knowledge of Microsoft Word, Excel, email, and cloud-based systems.
- Ability to follow procedures, templates, and checklists accurately.
- Ability to identify missing information and inconsistencies.
- Strong confidentiality and information-handling skills.
- Professional, respectful, and participant-focused communication.
- Willingness to learn and develop knowledge of NDIS compliance requirements.

NDIS compliance or disability-sector administrative experience will be highly regarded.

Role Boundaries

This is a support and administrative role.



The successful candidate will work under the supervision of the Compliance Coordinator and will not independently:

- Make final compliance decisions.
- Approve compliance documentation.
- Provide legal or independent compliance advice.
- Determine whether a participant or organisation is compliant.
- Manage safeguarding matters independently.
- Make unauthorised changes to participant records.

All significant compliance decisions, risks, and unresolved issues must be escalated to the Compliance Coordinator. Confidentiality & Privacy

This role involves access to confidential participant and organisational information. You must maintain strict confidentiality, only access information required for your duties, use approved systems, and immediately report any suspected privacy or information-security breach.
