Role & responsibilities
1. Inbound Logistics
- Plan and coordinate receipt of RM, PM, engineering materials, consumables, and other supplies.
- Coordinate with Purchase, Stores, QA, Production, and suppliers for timely material receipt.
- Monitor vehicle placement, unloading, documentation, and material receipt processes.
- Ensure materials are received in accordance with approved procedures and specifications.
- Track inbound shipments and resolve delays, shortages, damages, and discrepancies.
- Ensure proper documentation such as PO, invoice, delivery challan, e-way bill, LR/GRN, and other applicable records.
2. Outbound Logistics
- Plan dispatches of finished goods to customers, distributors, C&F; agents, and warehouses.
- Coordinate with Sales, Warehouse, QA, Finance, and customers for dispatch schedules.
- Ensure FEFO/FIFO principles are followed wherever applicable.
- Arrange appropriate vehicles based on product, quantity, route, and temperature requirements.
- Monitor delivery status and ensure on-time delivery.
- Handle transportation-related complaints, shortages, damages, and delivery deviations.
3. Pharma Compliance
- Ensure logistics activities comply with applicable GMP/GDP, quality systems, EHS, and company SOPs.
- Ensure appropriate transportation conditions for temperature-sensitive products.
- Monitor temperature-controlled transportation and maintain required records.
- Coordinate with QA for deviations, temperature excursions, product damage, and other quality-related issues.
- Maintain proper traceability of pharmaceutical shipments.
4. Transporter Management
- Identify, evaluate,
and coordinate with approved transporters.
- Monitor transporter performance, service quality, delivery timelines, and costs.
- Negotiate freight rates and optimize transportation costs.
- Ensure vehicles meet company and product-specific requirements.
- Review transporter bills and verify freight charges.
5. Warehouse & Inventory Coordination
- Coordinate with warehouse teams for material availability and dispatch planning.
- Monitor inventory movement and avoid stock-outs or excess inventory.
- Ensure proper handling, loading, unloading, and storage of materials.
- Support periodic physical stock verification and reconciliation.
6. Documentation & Systems
- Ensure accurate logistics documentation and records.
- Maintain shipment trackers, MIS reports, freight records, and delivery reports.
- Update ERP/SAP transactions related to logistics activities.
- Monitor pending deliveries, ageing shipments, and rejected/returned materials.
7. Cost & Performance Management
- Control freight and logistics costs through route optimization and load planning.
- Develop logistics budgets and monitor actual expenses.
- Identify opportunities for reducing transportation and handling costs.
- Prepare monthly logistics performance reports.
