Role & responsibilities
About the Role
We are looking for a proactive, highly organized and client-facing SAP Project Management Specialist to support the successful execution of SAP implementation, migration, upgrade and support projects.
The SAP Project Management Specialist will work as the Project Management Office (PMO) and Project Control function, coordinating between the client project team, Mawai's functional and technical teams, consultants and management.
The person will be responsible for preparing and maintaining detailed project plans, tracking project progress, coordinating resources, monitoring risks and dependencies, following up on project activities, managing escalations and providing accurate project status to the client and Mawai management.
The person should be comfortable communicating directly with both client stakeholders and Mawai team members and should have the confidence to escalate project delays or resource constraints immediately.
Knowledge of SAP or ERP implementation methodology will be an advantage.
Key Responsibilities
1. Project Planning & Scheduling
- Prepare detailed project plans using MS Project, Smartsheet, Excel or equivalent project management tools.
- Break project milestones into detailed activities, tasks, dependencies, owners and target dates.
- Maintain project schedules and track planned versus actual progress.
- Monitor critical milestones, dependencies and critical-path activities.
- Coordinate with project managers and functional/technical leads to ensure realistic project planning.
- Maintain the project baseline and update project plans based on actual progress and approved changes.
2. Project Tracking & Control
- Monitor project progress on a daily, weekly and monthly basis.
- Compare planned versus actual project progress and identify deviations.
- Maintain project trackers, dashboards, action logs, risk registers and dependency trackers.
- Identify activities that are delayed or likely to be delayed.
- Follow up with responsible team members to understand the reason for delays and agree corrective actions.
- Ensure corrective actions are tracked through to closure.
- Provide early warning to project management whenever project milestones are at risk.
3. Mawai Internal Team Coordination
- Conduct regular meetings with the Mawai project team to understand project progress, pending activities, concerns and resource requirements.
- Coordinate with SAP functional consultants, ABAP developers, Basis consultants and other technical teams.
- Track development work being performed from the Mawai office, particularly ABAP and Basis activities.
- Monitor development progress against committed timelines.
- Understand technical or functional concerns raised by the Mawai team and arrange appropriate support wherever required.
- Ensure commitments made by the Mawai team to the client are tracked and delivered on time.
4. Resource Planning & Allocation
- Coordinate with Mawai management and project leadership for project resource planning.
- Track resource availability, allocation and utilization.
- Identify upcoming resource requirements based on the project plan.
- Highlight resource shortages or skill gaps well in advance.
- Coordinate with the relevant managers to arrange additional or replacement resources where required.
- Monitor whether critical activities have appropriate resources assigned.
5. Client Project Coordination
- Participate in regular meetings with the Client Project Manager.
- Conduct daily, weekly and monthly project reviews as required.
- Discuss project progress, pending activities, risks, dependencies, resource requirements and upcoming milestones.
- Maintain professional and proactive communication with client stakeholders.
- Follow up with the client for activities, approvals, data, decisions and resources required for project execution.
- Ensure that client commitments and dependencies are properly documented and tracked.
6. Client-Side Dependency Management
- Identify project activities dependent on client resources, decisions, approvals, data, infrastructure or other inputs.
- Proactively follow up with the client team for pending actions.
- If a required client resource is unavailable or a critical client activity is delayed, immediately highlight the matter to the Client Project Manager and, where required, Client Management.
- Clearly communicate the potential impact of client-side delays on project milestones and timelines.
7. Risk, Issue & Escalation Management
- Maintain project Risk, Issue, Action and Dependency (RIAD) trackers.
- Identify potential risks before they become critical project issues.
- Follow up proactively with the responsible team to resolve risks and issues.
- If a Mawai team member is unable to complete an activity within the committed timeline, take up the matter with the concerned person and escalate to Mawai management when required.
- Immediately approach Mawai senior management where a delay may impact a critical milestone, go-live or customer commitment.
- Clearly communicate the issue, business/project impact, actions already taken and support required from management.
- Recommend appropriate corrective action or additional expertise wherever required.
8. On-Site Travel Planning
- Understand upcoming project activities requiring Mawai consultants to be present at the customer location.
- Prepare and suggest practical on-site travel plans based on project requirements.
- Coordinate with project management and consultants regarding on-site schedules.
- Ensure that the required consultant is available at the right location at the right time.
- Identify travel and resource conflicts in advance.
9. Project Governance & Meetings
- Coordinate daily, weekly and monthly project review meetings.
- Prepare meeting agendas and ensure participation of relevant stakeholders.
- Prepare and circulate Minutes of Meeting (MOM).
- Maintain action trackers and follow up until closure.
- Ensure important decisions, commitments, risks and dependencies are properly documented.
- Maintain accurate project records and documentation.
10. Steering Committee (SteerCo) Management
- Prepare qualified Steering Committee (SteerCo) decks for client management.
- Collect and consolidate inputs from functional, technical and project teams.
- Prepare project status presentations covering:
- Overall project health
- Milestone status
- Planned versus actual progress
- Key achievements
- Delayed activities
- Critical risks and issues
- Client dependencies
- Resource requirements
- Upcoming activities
- Management decisions required
- Present or support presentation of project status to client stakeholders.
- Ensure that SteerCo reports provide an accurate, transparent and management-level view of project health.
11. MIS & Project Reporting
- Prepare daily, weekly and monthly project status reports.
- Develop dashboards and MIS reports using Advanced Excel.
- Track project KPIs, milestones, risks, issues and action items.
- Prepare management reports highlighting exceptions and areas requiring intervention.
- Ensure accuracy and timely availability of project information.

- Accuracy and completeness of project plans.

- Reduction in avoidable project delays.
Risk & Escalation
- Early identification of project risks.
- Timely escalation of critical issues.
- Timely closure of project action items.
- Effective management of internal and client dependencies.
Resource Management
- Timely identification of resource requirements.
- Effective resource allocation.
- Reduction in resource-related project delays.
Client Coordination
- Quality and timeliness of client communication.
- Effective coordination with the Client Project Manager.
- Timely follow-up of client dependencies.
- Accuracy of project status reporting.
Project Governance
- Quality of weekly/monthly project reports.
- Quality of SteerCo presentations.
- Accuracy of MIS and dashboards.
- Timely circulation and closure of MOM/action items.
Preferred candidate profile
- Bachelor's degree in Engineering, Computer Science, IT, Business Administration, Project Management or a related field.
- 35 years of experience in PMO, Project Coordination, Project Management or IT/SAP project environments.
- Experience in SAP implementation, migration, upgrade, AMS or ERP projects will be highly preferred.
- Knowledge of SAP Activate, ASAP or other ERP implementation methodologies will be an advantage.
- Strong hands-on experience with MS Excel, including Pivot Tables, XLOOKUP/VLOOKUP, formulas, dashboards and reporting.
- Experience with MS Project, Smartsheet or equivalent project planning tools.
- Excellent PowerPoint skills with the ability to prepare professional management and SteerCo presentations.
- Good understanding of project planning, milestones, dependencies, risks and resource management.
- Excellent verbal and written communication skills.
- Comfortable communicating directly with client Project Managers and senior stakeholders.
- Strong follow-up and escalation skills.
- Ability to professionally challenge delays and obtain commitments from stakeholders.
- Highly organized, proactive and detail-oriented.
- Ability to manage multiple activities and priorities simultaneously.
- Willingness to travel to customer locations when required.
