Role Summary The Officer HR, Admin & Liaison will be responsible for managing core HR operations, statutory compliance, administration activities, employee lifecycle management, and liaisoning with government authorities and external stakeholders. The role requires coordination across departments to ensure smooth HR, administrative, compliance, and regulatory processes at the plant location.
Key Responsibilities
Human Resources
- Manage end-to-end employee lifecycle activities including onboarding, induction, confirmation, transfers, and separation.
- Administer payroll inputs, attendance, leave management, and time office activities.
- Support recruitment activities including sourcing, interview coordination, joining formalities, and employee retention initiatives.
- Coordinate training and development programs and maintain related records.
- Assist in implementation and administration of Performance Management Systems (PMS).
- Support development, implementation, and compliance of HR policies, procedures, and systems.
- Maintain employee records, personnel files, and HR documentation.
- Prepare monthly HR MIS reports and other management reports as required by Head Office.
Statutory Compliance
- Ensure compliance with applicable labour laws and statutory requirements.
- Coordinate statutory filings, renewals, documentation, inspections, and audits.
- Maintain records related to PF, ESIC, Factory Act, Labour Welfare,
Contract Labour compliance, and other applicable regulations.
- Support external and internal audits by arranging required documents and information.
Administration
- Oversee day-to-day administrative activities for the plant/site.
- Coordinate housekeeping, security, transport, canteen, guest house, and office maintenance activities.
- Manage vendor coordination and administrative service providers.
- Ensure proper maintenance of office records, contracts, agreements, and administrative documentation.
- Support infrastructure and facility management requirements.
Liaison & Government Relations
- Liaise with government departments, local authorities, statutory bodies, and regulatory agencies for obtaining approvals, permits, licenses, registrations, and renewals.
- Coordinate with consultants, legal advisors, banks, and external agencies for compliance-related matters.
- Prepare and submit applications, letters, forms, and supporting documents to concerned authorities.
- Track approval status and ensure timely completion of liaison-related activities.
- Maintain records of licenses, approvals, certificates, registrations, and renewal schedules.
- Represent the company during visits to government offices and external agencies as required.
- Build and maintain professional relationships with external stakeholders while ensuring ethical and transparent dealings.
- Provide regular updates on compliance status, pending approvals, and critical liaison matters to management.
Required Skills & Competencies
- Strong knowledge of HR operations and statutory compliance.
- Good understanding of labour laws and industrial relations.
- Experience in liaisoning with government authorities and regulatory bodies.
- Robust follow-up and coordination skills.
- Good drafting skills for official letters, applications, and correspondence.
- Excellent communication and interpersonal skills.
- Proficiency in MS Excel, Word, PowerPoint, and MIS preparation.
- Ability to handle confidential information with integrity.
- Strong analytical, problem-solving, and organizational skills.
- Willingness to travel locally for official liaison and administrative work.
Preferred Candidate Profile
- Experience in a manufacturing, engineering, chemical, packaging, battery, or industrial setup.
- Practical exposure to factory administration, statutory compliance, and government liaison activities.
- Self-driven, proactive, and capable of managing multiple responsibilities independently.
- Strong stakeholder management and relationship-building capabilities.
Essential Requirement
- Candidate must have prior experience in a manufacturing company.
- Should be proficient in preparing MIS, reports, presentations, and compliance documentation.
- Hands-on experience in HR operations, administration, statutory compliance, and liaison activities is mandatory.
