Plant HR Manager
Reporting To - Plant Head / Management
Location - Manufacturing Plant- Palladam (Tiruppur Dt)
The Plant HR Manager is responsible for managing complete HR operations at the manufacturing plant, including manpower planning, recruitment, onboarding, attendance, payroll coordination, employee relations, statutory compliance, training, performance management, discipline, welfare, and administration. The role ensures adequate manpower availability and smooth HR support for uninterrupted plant operations.
Key Responsibilities
1. Manpower Planning & Recruitment
- Coordinate with the Plant Head and department heads to identify manpower requirements.
- Prepare monthly and annual manpower plans.
- Recruit operators, helpers, technicians, supervisors, engineers, executives, and other plant employees.
- Coordinate with manpower agencies, contractors, ITIs, polytechnics, colleges, and recruitment consultants.
- Conduct screening, interviews, salary discussions, reference checks, and joining formalities.
- Maintain recruitment trackers and vacancy status reports.
- Ensure critical production vacancies are filled within the required timeline.
2. Joining & Employee Documentation
- Complete joining formalities for all recent employees.
- Verify employee KYC and supporting documents.
- Issue appointment letters, ID cards, employee codes, and other required documents.
- Conduct HR induction for new employees.
- Explain company policies, attendance rules, leave procedures, safety requirements, and code of conduct.
- Maintain complete employee personal files and HR records.
3. Attendance, Leave & Payroll Coordination
- Monitor daily attendance, absenteeism, late coming, permissions, overtime, and shift attendance.
- Coordinate biometric attendance records.
- Maintain leave records and ensure proper approvals.
- Prepare monthly attendance inputs for payroll.
- Verify overtime, incentives, deductions, new joiners, resignations, and salary changes before payroll processing.
- Coordinate with Accounts/Payroll for accurate and timely salary processing.
4. Employee Relations & Discipline
- Maintain healthy employee relations across the plant.
- Handle employee grievances and workplace concerns.
- Counsel employees regarding attendance, performance, behaviour, and discipline.
- Issue warning letters, show-cause notices, and disciplinary communications when required.
- Coordinate disciplinary enquiries in accordance with company policy.
- Reduce absenteeism, employee conflicts, and unnecessary manpower turnover.
- Maintain professional communication between workers, supervisors, department heads, and management.
5. Labour & Contractor Management
- Coordinate with labour contractors and manpower agencies.
- Monitor contractor manpower attendance and deployment.
- Verify contractor documentation and statutory compliance.
- Ensure adequate manpower is available for production requirements.
- Monitor contractor bills, service charges, attendance, overtime, and manpower statements.
- Maintain contractor and outsourced employee records.
6. Statutory Compliance
- Ensure plant HR practices comply with applicable labour laws and statutory requirements.
- Coordinate PF, ESI, Professional Tax, Labour Welfare Fund, Bonus, Gratuity, Minimum Wages, and other applicable requirements.
- Maintain statutory registers, employee records, licences, notices, and returns.
- Coordinate with labour authorities, inspectors, consultants, and auditors when required.
- Ensure contractor labour compliance and documentation.
- Support factory-related HR and labour compliance audits.
7. Training & Development
- Identify employee training requirements with department heads.
- Prepare annual/monthly training calendars.
- Arrange induction, safety, technical, behavioural, and skill-development training.
- Maintain training attendance and evaluation records.
- Coordinate skill-matrix development for production employees.
- Support multi-skilling and employee development programmes.
8. Performance Management
- Coordinate employee probation confirmation and performance reviews.
- Support department heads in employee performance evaluation.
- Maintain appraisal and increment records.
- Identify high performers and employees requiring improvement.
- Coordinate Performance Improvement Plans where required.
- Support promotion, increment, transfer, and role-change processes.
9. Employee Engagement & Welfare
- Organize employee engagement programmes, celebrations, recognition programmes, and welfare activities.
- Coordinate uniforms, PPE, transportation, canteen, accommodation, and other employee facilities where applicable.
- Monitor employee welfare facilities and raise issues requiring management attention.
- Conduct employee feedback and grievance meetings.
- Support initiatives to improve employee retention and workplace satisfaction.
10. Safety & Plant Coordination
- Work closely with Production, Maintenance, Quality, Safety, Stores, and Administration teams.
- Ensure employees attend mandatory safety induction before deployment.
- Support implementation of PPE and plant safety requirements.
- Coordinate employee-related actions during accidents and emergencies.
- Maintain required employee accident/incident documentation in coordination with the Safety team.
- Promote safety discipline among employees and contract workers.
11. Exit Management
- Conduct resignation and exit processes.
- Coordinate notice periods and handover.
- Conduct exit interviews and identify reasons for employee turnover.
- Complete clearance and Full & Final Settlement inputs.
- Collect company assets, ID cards, uniforms, documents, and other materials before relieving.
- Issue relieving and experience documents as per company policy.
12. HR MIS & Management Reporting Prepare and submit regular HR reports covering:
- Total manpower
- Department-wise manpower
- Vacancies
- New joiners
- Resignations
- Attendance
- Absenteeism
- Overtime
- Employee turnover
- Recruitment status
- Contractor manpower
- Training
- Employee grievances
- Disciplinary cases

Qualification Preferred: MBA / MSW / PG Diploma in Human Resources / Personnel Management / Labour Welfare or equivalent qualification.
Experience
- 5–10 years of HR experience, preferably in a manufacturing environment.
- Minimum 2–3 years of experience independently handling plant HR activities is preferred.
- Experience in blue-collar and white-collar recruitment is desirable.
- Experience with labour contractors and statutory compliance is essential.

Authority & Responsibility The Plant HR Manager is responsible for ensuring that the plant has the right manpower, at the right time, with proper discipline, documentation, compliance, training, and employee support to achieve uninterrupted and efficient plant operations. Pay: ₹420,000.00 - ₹600,000.00 per year
