Key Responsibilities
Office Administration
- Supervise daily office operations including housekeeping, security, and maintenance.
- Ensure availability of office supplies and manage procurement processes.
Maintain records of administrative expenses and budgets. Vendor & Facility Management
- Coordinate with vendors for services such as housekeeping, security, transport, and catering.
- Negotiate contracts and ensure timely payments.
- Oversee facility management including repairs, utilities, and infrastructure upkeep.
Compliance & Documentation
- Ensure compliance with statutory requirements related to administration.
- Maintain accurate records of contracts, licenses, and agreements. Support audits and inspections as required.
Employee Support Services
- Manage travel arrangements, accommodation, and logistics for employees.
- Handle employee queries related to administrative services. Organize company events, meetings, and conferences.
Process Improvement
- Identify gaps in administrative processes and recommend improvements.
- Implement automation tools for efficiency in admin operations.
Qualifications & Skills
- Business Administration, Management, or related field.
- 8 -12 years of experience in administration or office management.
- Solid knowledge of vendor management, facilities, and compliance.
- Proficiency in MS Office and administrative software tools.
- Excellent organizational and multitasking skills.
- Strong interpersonal and communication abilities.
- Ability to manage budgets and negotiate contracts effectively.
