We are looking for an experienced, responsible, and detail-oriented Accounts & Finance Executive / Accounts Officer to manage the organization's day-to-day accounting, taxation, statutory compliance, billing, collections, payments, reconciliations, and financial documentation.

The candidate will be responsible for the complete accounting cycle, including Accounts Receivable, Accounts Payable, invoicing, receipt management, customer collections, payment follow-ups, vendor payments, cash and bank management, Tally Prime accounting, GST, TDS, Income Tax, statutory filings, reconciliations, audit coordination, and management reporting.

The role will also involve maintaining authorized financial records relating to Directors/Promoters, rental-related transactions, advances, reimbursements, and other financial activities, along with maintaining proper physical and digital accounting records.

The ideal candidate should be capable of independently handling routine Accounts & Finance activities with minimum supervision and should demonstrate a high level of accuracy, confidentiality, integrity, ownership, and financial discipline.

Hands-on experience in Tally Prime is mandatory.

KEY RESPONSIBILITIES

1. Complete Accounting & Bookkeeping

- Manage day-to-day accounting operations and maintain complete books of accounts.
- Record all financial transactions accurately and on a timely basis in Tally Prime.
- Handle:
- Sales entries
- Purchase entries
- Receipt vouchers
- Payment vouchers
- Contra entries
- Journal entries
- Credit notes
- Debit notes
- Expense entries
- Cash entries
- Bank entries
- Adjustment entries
- Create and maintain customer, vendor, expense, asset, liability, and other required ledgers.
- Ensure proper accounting classification and treatment of transactions.
- Review ledgers for incorrect, duplicate, or unusual entries.
- Ensure every transaction is supported by appropriate documentation and authorization.
- Maintain accurate and up-to-date books of accounts.

2. Billing & Invoice Management

- Manage the complete billing and invoicing process.
- Prepare and issue customer invoices as per approved commercial terms.
- Verify customer details, billing period, invoice value, GST, discounts, payment terms, and due dates.
- Maintain a proper sales/invoice register.
- Record invoices in Tally Prime.
- Share invoices with customers and maintain appropriate records.
- Track invoice due dates and payment status.
- Prepare recurring invoices wherever applicable.
- Process authorized credit notes and debit notes.
- Maintain records of cancelled, revised, adjusted, and disputed invoices.
- Coordinate with relevant departments for billing-related information.
- Ensure that no billable transaction is missed or delayed.

3. Receipt & Collection Management

- Maintain complete records of customer receipts.
- Record receipts accurately in Tally against respective invoices.
- Match bank credits with customer payments and outstanding invoices.
- Maintain receipt registers and supporting documentation.
- Issue/maintain payment receipts wherever applicable.
- Track customer advances and unallocated receipts.
- Ensure advances are properly adjusted against subsequent invoices.
- Reconcile customer receipts with bank statements and customer ledgers.
- Investigate unidentified receipts and obtain necessary clarification.

4. Accounts Receivable & Customer Outstanding

- Manage the complete Accounts Receivable cycle.
- Maintain customer-wise outstanding statements.
- Prepare and review ageing reports.
- Monitor all customer payment due dates.
- Send regular payment reminders before and after due dates.
- Conduct payment follow-ups through email and telephone.
- Maintain a detailed payment follow-up tracker.
- Record customer payment commitments and expected payment dates.
- Follow up on committed payment dates until payment is received.
- Coordinate internally to resolve billing/documentation issues affecting collections.
- Reconcile customer statements with company books.
- Identify long-pending, disputed, or high-value receivables.
- Escalate overdue accounts to management.
- Prepare regular collection and outstanding reports.

5. Accounts Payable & Vendor Management

- Manage the complete Accounts Payable cycle.
- Receive and verify vendor invoices.
- Check invoices against purchase orders, work orders, agreements, approvals, and supporting documents wherever applicable.
- Verify GSTIN, invoice calculations, tax deductions, and other statutory requirements.
- Record vendor invoices in Tally Prime.
- Maintain vendor ledgers.
- Prepare vendor ageing and outstanding reports.
- Track vendor payment due dates.
- Prepare vendor payment schedules.
- Obtain necessary payment approvals.
- Process and record vendor payments.
- Reconcile vendor statements with company books.
- Follow up with vendors for missing invoices, credit notes, debit notes, and supporting documents.
- Resolve discrepancies in vendor accounts.
- Maintain complete vendor payment documentation.

6. Payment Management

- Prepare daily/weekly payment requirements for management approval.
- Maintain a payment due-date tracker.
- Verify invoices and supporting documents before payment processing.
- Ensure applicable TDS is deducted before vendor payments.
- Record payments accurately in Tally Prime.
- Maintain payment vouchers and supporting documents.
- Track pending payment approvals.
- Coordinate with vendors regarding payment status.
- Maintain complete payment records for audit and management review.

7. Cash & Petty Cash Management

- Maintain the daily cash book.
- Record all cash receipts and payments.
- Maintain petty cash records.
- Verify supporting bills and vouchers for cash expenses.
- Conduct physical cash verification.
- Reconcile physical cash with book balance.
- Ensure proper authorization for cash expenses.
- Record all cash transactions in Tally Prime.




- Identify and report cash shortages/excesses.
- Maintain proper petty cash replenishment records.

8. Bank Accounting & Reconciliation

- Record all bank transactions in Tally Prime.
- Obtain and review regular bank statements.
- Perform regular Bank Reconciliation Statements (BRS).
- Identify and resolve unreconciled transactions.
- Account for bank charges, interest, direct credits, direct debits, transfers, cheque returns, etc.
- Identify unidentified customer/vendor transactions.
- Reconcile bank balances with Tally.
- Maintain proper bank reconciliation records.

9. Directors' / Promoters' Account Management

- Maintain separate and confidential accounting records relating to Directors/Promoters wherever specifically authorized.
- Maintain records of authorized personal or Director-related transactions handled through the organization.
- Track:
- Advances
- Reimbursements
- Authorized personal expenses
- Payments made on behalf of Directors
- Amounts recoverable/payable
- Director-related transactions
- Authorized investments or financial transactions
- Maintain appropriate supporting documentation.
- Reconcile Director/Promoter accounts regularly.
- Ensure clear distinction between company and personal transactions.
- Prepare periodic statements for review by Directors/Management.
- Maintain strict confidentiality of all such information.
- Ensure no personal transaction is processed without proper authorization and documentation.

10. Rental & Property-Related Accounting

- Maintain accounting records relating to rental properties/premises handled by the organization or Directors.
- Maintain rent agreements, rent schedules, and payment records.
- Track monthly rental income and expenses.
- Raise rental invoices wherever applicable.
- Record rental receipts in Tally Prime.
- Monitor rental receivables and conduct payment follow-ups.
- Track rental deposits and advances.
- Maintain records of:
- Rent received
- Rent payable
- Security deposits
- Maintenance charges
- Utility charges
- Repairs and maintenance
- Property-related expenses
- Property taxes and applicable charges
- Reconcile rental income and expenses.
- Maintain property-wise records wherever required.
- Track rental-related TDS/GST implications wherever applicable.
- Coordinate with tenants, landlords, property managers, and consultants.

TAXATION & STATUTORY COMPLIANCE 11. GST Compliance & Filing

- Maintain complete GST-related accounting records.
- Ensure correct GST treatment in sales, purchases, expenses, and other applicable transactions.
- Verify customer and vendor GSTIN details.
- Reconcile sales records with GST returns.
- Reconcile purchase/Input Tax Credit records with GSTR-2B.
- Identify ITC mismatches and coordinate for resolution.
- Prepare and file applicable GST returns within statutory timelines, including:
- GSTR-1
- GSTR-3B
- GSTR-9
- GSTR-9C, wherever applicable
- Other applicable GST returns/statements
- Maintain GST challans and payment records.
- Reconcile GST liability as per books with portal records.
- Monitor GST notices and departmental communications.
- Coordinate with CA/tax consultants wherever required.

12. TDS Compliance & Reconciliation

- Identify transactions subject to TDS.
- Calculate and deduct applicable TDS.
- Ensure correct TDS accounting in Tally Prime.
- Deposit TDS within applicable statutory timelines.
- Prepare and file applicable TDS returns.
- Reconcile TDS payable with books of accounts.
- Reconcile TDS records with the relevant statutory portal.
- Verify TDS credits and resolve discrepancies.
- Maintain TDS certificates and supporting documentation.
- Coordinate with vendors regarding TDS deductions and certificates.
- Track TDS notices and communications.
- Ensure timely completion of all TDS compliance requirements.

13. Income Tax & Direct Tax Compliance

- Maintain accounting records required for Income Tax compliance.
- Prepare financial data and schedules required for Income Tax Return filing.
- Coordinate with CA/tax consultants for preparation and filing of applicable Income Tax Returns.
- Assist in preparation of taxable income computations.
- Maintain records of advance tax and self-assessment tax payments.
- Track applicable tax payment due dates.
- Maintain supporting documents for Income Tax compliance.
- Assist with Income Tax notices, queries, assessments, and communications.
- Coordinate with qualified consultants for tax-related reconciliations and compliance.

14. Other Statutory Compliance

- Maintain a comprehensive statutory compliance calendar.
- Monitor all applicable tax and statutory filing deadlines.
- Ensure timely preparation and submission of applicable statutory returns and statements.
- Maintain records of:
- Returns filed
- Challans
- Payment receipts
- Acknowledgements
- Certificates
- Notices
- Statutory correspondence
- Coordinate with CA, tax consultants, auditors, and other professional advisors.
- Track statutory payments and ensure timely deposits.
- Assist in responding to statutory notices and departmental queries.
- Ensure no avoidable statutory filing or payment deadline is missed.

16. Physical Accounts Filing & Documentation

- Maintain a systematic physical accounts filing system.
- File accounting documents month-wise and category-wise.
- Maintain separate files for:
- Sales invoices
- Purchase invoices
- Customer receipts
- Payment vouchers
- Cash vouchers
- Bank documents
- Expense bills
- Vendor documents
- GST returns
- TDS returns
- Income Tax documents
- Tax challans
- Statutory filings
- Rental documents
- Director-related documents
- Audit documents
- Ensure vouchers are properly numbered and cross-referenced.
- Maintain digital backups of important financial records.
- Ensure documents are easily retrievable for audits, tax assessments, management reviews, and statutory requirements.
- Ensure no financial document is left unfiled or misplaced.

17. Monthly Closing & Finalization

- Complete all monthly accounting entries.
- Ensure all invoices, receipts, payments, expenses, and bank transactions are recorded.
- Complete customer and vendor reconciliations.
- Complete cash and bank reconciliation.
- Review outstanding receivables and payables.
- Review GST and TDS balances.
- Record applicable accruals, provisions, depreciation, and adjustment entries.
- Prepare monthly financial reports.
- Assist in year-end closing and finalization of accounts.
- Coordinate with CA for finalization of books and statutory audit.

18. Audit & CA Coordination

- Coordinate with internal/external auditors.
- Coordinate with the company's CA and tax consultants.
- Prepare schedules and supporting documents required for audit.
- Provide ledgers, invoices, vouchers, bank statements, reconciliations, tax returns, challans, confirmations, etc.
- Respond to routine audit queries.
- Track pending audit requirements.
- Assist in resolving accounting and documentation discrepancies.

19. MIS & Management Reporting

Prepare regular reports including

- Customer outstanding report
- Customer ageing report
- Collection report
- Payment follow-up report
- Vendor outstanding report
- Vendor ageing report
- Payment due report
- Cash position
- Bank position
- Monthly revenue report
- Monthly expense report
- GST summary
- TDS summary
- Tax payment status
- Rental income/expense report
- Director/Promoter account statements

TALLY PRIME MANDATORY The candidate must have strong practical and hands-on experience in Tally Prime. The candidate should independently handle:

QUALIFICATION

Mandatory

- B.Com / M.Com / BBA Finance / MBA Finance / equivalent qualification in Finance & Accounts.

Professional Certifications – Preferred Preference will be given to candidates who are pursuing, or part-qualified, in any of the following:

- CMA – Cost & Management Accountant
- CPA – Certified Public Accountant

Additional certifications in the following areas will be an advantage:
- GST & Taxation
- TDS & Income Tax
- Tally Prime / Tally ERP
- Advanced MS Excel
- Financial Accounting
- Corporate Accounting
- Payroll & Statutory Compliance

CA/CMA/ACCA/CPA qualification is preferred but not mandatory. Strong practical accounting and taxation experience will be given significant importance.

EXPERIENCE

Minimum 3 years of relevant experience in Accounts & Finance.

Preference will be given to candidates with experience handling end-to-end accounting, taxation, statutory compliance, AR, AP, Tally Prime, collections, reconciliations, and audit coordination.
