Job Description Assistant Manager Stores

Designation: Deputy Manager – Stores
Reporting To: Manager / Head – Stores & Procurement
Role Purpose
To manage the day-to-day stores operations, ensuring efficient receipt, storage, inventory control and timely issuance of materials to support BASL’s airport hospitality and business operations. The role will be responsible for maintaining optimum stock levels, accurate inventory records, compliance with SOPs and effective coordination with procurement, finance and operational departments.
Key Responsibilities
1. Stores & Inventory Management
- Manage end-to-end stores operations including receiving, inspection, storage, preservation and issuance of materials.
- Maintain accurate stock records and ensure physical stock matches system records.
- Monitor stock levels, minimum/maximum levels, reorder points and slow-moving/non-moving inventory.
- Ensure proper storage and handling of food, beverages, consumables, housekeeping materials, engineering spares and other operational items.
- Implement proper FIFO/FEFO practices wherever applicable.
- Conduct regular physical stock verification and investigate discrepancies.
2. Material Receipt & Issue
- Verify incoming materials against purchase orders, delivery challans and approved specifications.
- Coordinate with the concerned departments for quality and quantity verification.
- Ensure timely issuance of materials against approved requisitions.
- Maintain proper documentation for GRN, material issue, returns and stock transfers.
- Ensure damaged, expired or rejected materials are properly identified and reported.
3. Inventory Control & Cost Management
- Monitor inventory consumption and identify opportunities to reduce wastage and excess stock.
- Analyse consumption trends and support effective inventory planning.
- Ensure proper control over high-value and critical items.
- Track expiry dates and minimise inventory losses due to expiry, damage or poor storage.
- Support periodic inventory reconciliation with Finance.
4. Team Management
- Supervise and guide the Stores team in daily operations.
- Allocate duties and monitor team performance and productivity.
- Train team members on stores procedures, inventory control, safety and documentation.
- Ensure discipline, grooming and compliance with BASL policies and airport regulations.
5. Coordination & Stakeholder Management
- Coordinate closely with Procurement, Finance, F&B;, Housekeeping, Engineering and other operational departments.
- Follow up with Procurement for pending orders and critical materials.
- Support departments in identifying material requirements and consumption patterns.
- Coordinate with vendors and suppliers for delivery-related issues when required.
6. Compliance & Audit
- Ensure compliance with BASL SOPs, internal controls and airport operational requirements.
- Maintain proper records and documentation for internal and external audits.
- Ensure adherence to food safety and hygiene requirements for food and beverage-related inventory.
- Support stock audits, financial audits and periodic management reviews.
7. MIS & Reporting
- Prepare daily/weekly/monthly inventory and consumption reports.
- Track stock variance, ageing, slow-moving and non-moving inventory.
- Provide inventory-related MIS and analysis to management.
- Highlight critical stock-outs, excess inventory and operational risks to the reporting manager.

- Control of slow-moving/non-moving and expired inventory
- Compliance with stores SOPs and audit requirements

Qualification
- Bachelor’s degree in Commerce, Supply Chain, Logistics, Hospitality Management or a related discipline.
- Diploma/Certification in Stores, Inventory Management or Supply Chain Management will be an added advantage.
Experience
- 6–10 years of relevant experience in Stores, Inventory or Materials Management.
- Experience in hospitality, hotels, airport operations, F&B; or large-scale service operations will be preferred.
- Experience in managing a team and handling multiple categories of inventory is desirable.
Skills & Competencies
- Strong knowledge of inventory and stores management.
- Good understanding of FIFO/FEFO, stock reconciliation and inventory controls.
- Strong analytical and problem-solving skills.
- Good knowledge of MS Excel and inventory/ERP systems.
- Good communication and coordination skills.
- Robust attention to detail and documentation.
- Ability to work in a fast-paced, 24/7 operational environment.
