Adella Digital is hiring a Senior Operations & Project Coordinator — remote, anywhere in India.

Adella Digital is a US company based in Cedar Park, Texas. We build and run growth programs for American brands — websites and ecommerce, paid media, email and lifecycle marketing, SEO, content. Our India team operates under GulfStar, with a hub in Ahmedabad, and a growing share of our client delivery happens there. We're also building AdellaInsight, an AI-first marketing operating system that changes how agency work actually gets done.

This role is the person who keeps all of it moving.

You'll sit between our COO in the US and the account managers, designers, developers and media buyers on our team. Meetings happen, decisions get made — and then someone has to turn that into tasks with owners and dates, and follow them until they're finished. That someone is you.

ABOUT THE HOURS — WE'LL SAY THIS UP FRONT

Our leadership and our clients are on the US West Coast, and this role has to be live with them. Your working availability is 9:00 AM to 4:00 PM Pacific, which in India means roughly 9:30 PM to 6:00 AM IST, Monday to Friday. When US daylight saving ends in November, it moves an hour later.

Yes, that's a night shift. We're putting it in the first thirty seconds because it's the main reason people step away from this role, and we'd rather you know now than in round three. If those hours don't work for your life, no hard feelings — this just isn't the one.

WHAT YOU'LL OWN

Keeping projects moving
• Sit in on internal and client calls, take real notes, and pull out what actually needs to happen
• Turn those notes into clear tasks in Wrike, with the right owner and a real deadline
• Chase what's outstanding before anyone has to ask you about it
• Keep leadership honest about status, risk, and where things are stuck
• Spot dependencies early, while they're still cheap to fix

Supporting our clients




• Act as a second point of contact for the accounts you're assigned
• Send meeting recaps, status updates, and follow-ups that people actually read
• Run down approvals and feedback so nothing sits waiting
• Prep agendas ahead of client calls
• Make sure every client request is written down, prioritised, and closed out

Keeping the team aligned
• Hold account managers, developers, designers and media buyers on the same set of priorities
• Track deliverables across several clients at once without dropping any of them
• Help organise production schedules and who's working on what
• Keep work moving when priorities shift, which they will

Backing up leadership
• Track executive priorities and close the loop on action items
• Put together project summaries and status reports
• Help coordinate work that cuts across departments
• Flag the places where our process is wasting everyone's time, and help fix them

WHAT WE'RE LOOKING FOR

• 5+ years coordinating projects in a digital marketing agency, or somewhere equally fast-moving, running several accounts at once
• Comfortable around website and ecommerce projects — you don't need to build them, but you should know what breaks and roughly why
• A working understanding of paid advertising (Google Ads, Meta, TikTok). Enough to follow the conversation and know when something's off track
• Experience working alongside creative, development and marketing people, all of whom think differently
• Explicit,



confident written and spoken English — you'll be writing to US clients directly
• Genuinely strong organisation. Not "I'm organised" on a CV, but the kind where nothing gets lost
• Able to run on your own without someone checking in every few hours

OUR STACK

We run on Wrike. Every project, task, deadline and approval lives there, and you'll be the person who keeps it accurate. If you've used Wrike before, say so — it's a real advantage. If you've run a different tool at a senior level and can show us you'll pick this one up quickly, we're listening.

NICE TO HAVE

• Hands-on with Shopify, WordPress or similar
• A grounding in SEO, email, social and general digital marketing
• Fluent with AI tools — Claude, ChatGPT, Gemini. We use them heavily and we'd rather you already do too

This isn't an admin job, so we'd steer you away if you're looking for one.

The people who do well in this seat like building structure where there wasn't any. They think a few steps ahead. They notice the detail everyone else skimmed past. They'd rather solve a problem quietly than escalate it loudly.
