Job Summary
We are seeking a Staff I to join our growing Advisory Team to help us in Legal Administration Services.
Advisory Staff I - Legal Sector - Settlement Funds position performs various assigned tasks related to client engagements. You will be supporting a project team with all operational tasks including but not limited to Data Entry, Claim Review, Case Reporting, etc. The ideal candidate will possess exceptional verbal and written communication skills, exhibit a consultative and solution-oriented approach, and demonstrate the ability to manage multiple priorities effectively. They must be a team player, committed to fostering a collaborative team environment and promoting cooperation among team members to deliver the highest quality services to clients.
Responsibilities
- Under direct supervision, manages digital content and communications through websites, online claims forms, and other digital and written communications.
- Maintain consistent communication and build effective collaborative relationships with Project Managers (PMs), colleagues, and managers.
- Monitors workload to meet production expectations.
- Review Settlement Agreements and prepare case timelines to effectively manage production and workload throughout the case lifecycle.
- Perform tasks related to case setup, drafting notice materials, claims review, and website setup for class action cases.
- Execute class action administration tasks such as claims data entry, settlement claims review, deficiency review, and responding to claimant queries.
- Monitor and manage assigned project inboxes, ensuring timely responses in line with defined turnaround timelines (TAT).
- Coordinate regularly with project teams to ensure alignment with strategic objectives.
- Ensures quality control standards are maintained including complying with confidentiality requirements (e.g., client information, personnel information,
job-related information, etc.).
- Complies with the professional and Firm requirements (e.g., employee handbook requirements, time entry procedures, etc.).
- Identifies issues/concerns and communicates such items to supervisors.
- Exhibits strong analytical ability and diligently performs assigned tasks with the highest degree of professionalism and integrity.
- Self-monitors accomplishments toward defined performance goals.
- Proactively communicates any issues/concerns relating to assignments.
- Develops proficiency for Firm software applications and procedures.
- Maintains a positive attitude and is receptive to constructive feedback.
- Demonstrates ethical behavior.
- Demonstrates the ability to learn through formal and/or on-the-job training, the tasks assigned and the ability to excel in such areas.
- Maintains the required CPE for firm and licensing standards.
- Assists in the development of training materials and presentations as required.
- Accepts responsibility for work assigned and follows up on open assignments.
- Demonstrates an ability to adjust to non-routine assignments/unexpected situations.
- May be required to occasionally work extended hours.
Other Responsibilities
- Provides courteous and prompt service to all internal and external parties. Prioritize and address requests and assignments in a professional and cooperative manner.
- Identify opportunities and recommend methods to improve service, work processes and financial performance (e.g.,
procedure optimization). Assist in the implementation of quality improvement initiatives.
- Performs other services as assigned.
Basic Qualifications
- Postgraduate Diploma or Masters degree in Finance, Business Administration, Information Systems, Decision Sciences, Marketing, Communications, or a related field.
- Strong attention to detail and ability to review documents and data for accuracy.
- Possess a capacity for quickly understanding recent concepts, workflows, and systems.
- Excellent interpersonal, written, and verbal communication skills. Professionally and appropriately communicate with a diverse group of individuals.
- Demonstrate a positive attitude and proactive nature.
- Critical thinking skill capabilities are essential.
- Willingness and ability to quickly learn new systems, tools, and processes, with a strong learning mindset.
- Ability to work both independently and collaboratively, demonstrating reliability, a positive attitude, and professionalism.
Preferred / Desired Skills
- 0-1 year of relevant experience in Project Operations Management or Legal Administrative Operations is preferred
- Exhibit a high degree of professionalism and maintain the highest level of confidentiality.
- Ability to manage multiple tasks, prioritize work effectively, and meet deadlines in a fast-paced environment.
- Proficiency in Microsoft Office Suite (Excel, Word, Outlook) and awareness of SOPs, process documentation, and confidentiality requirements; relevant certifications (e.g., PMP) are an advantage.
