Job Description – Admin Executive

Employment Type: Full-Time
About the Role
The Admin Executive will be responsible for managing day-to-day administrative activities, daily employee attendance, office facilities, employee support, documentation, vendor coordination, assets, and general office operations to ensure smooth and efficient functioning of Kushi Synergy.
Key Responsibilities
1. Daily Attendance Management
Monitor and maintain daily employee attendance and punctuality.
Verify employee login and logout timings through the company attendance/punching system.
Maintain daily attendance records and identify late coming, early leaving, and absenteeism.
Follow up with employees regarding missing or incorrect attendance punches.
Coordinate with HR regarding attendance discrepancies, regularization, and leave records.
Prepare and submit daily/weekly/monthly attendance reports to HR and management.
Maintain proper records of approved leave, permission, late coming, and attendance adjustments.
Ensure employees follow the company’s attendance and working-hours policies.
2. Office Administration
Manage daily office administrative activities and ensure smooth operations.
Maintain office discipline, cleanliness, and proper workplace standards.
Coordinate office requirements, stationery, pantry, housekeeping, and other facilities.
Monitor office opening, closing, and general facility arrangements.
Ensure company policies and administrative procedures are followed.
3. Facility & Maintenance Coordination
Coordinate office and store maintenance requirements.
Follow up on electrical, plumbing, civil, furniture, and other maintenance issues.
Coordinate with technicians, service providers, and external vendors.
Maintain records of maintenance activities and service schedules.
Ensure timely resolution of facility-related issues.
4. Asset & Inventory Management
Maintain records of company assets, equipment, furniture, stationery, and other inventory.
Track asset allocation to employees and maintain proper documentation.
Conduct periodic physical verification of assets and inventory.
Raise requirements for current assets and office supplies.
Monitor stock levels and ensure timely procurement.
5. Vendor Management
Coordinate with vendors and service providers for office requirements.
Obtain quotations and coordinate approvals where required.
Monitor vendor services, quality, and timelines.
Maintain vendor details, bills, quotations, and service records.
Follow up on pending vendor payments with the concerned departments.
6. Employee Administrative Support
Support employees with administrative requirements.
Coordinate ID cards, access requirements, stationery, assets, uniforms, and other company facilities.
Maintain employee-related administrative records.
Coordinate joining and exit-related administrative requirements.
Support HR in implementing employee policies and workplace procedures.
7. Documentation & Reporting
Maintain proper administrative files, registers, bills, invoices, and records.
Prepare daily, weekly, or monthly administrative reports as required.
Maintain records of office expenses and petty cash-related documents.
Ensure documents are properly filed and easily accessible.
Support management with administrative data and reports.
8. Compliance & Safety
Ensure basic workplace safety and facility standards are maintained.
Monitor fire safety equipment,
emergency arrangements, and other safety requirements.
Coordinate renewal and servicing of required licenses, contracts, and facility-related documents.
Report any safety, security, or facility concerns to management immediately.
Required Skills
Good communication and coordination skills.
Good knowledge of MS Excel, Word, email, and basic office applications.
Strong follow-up and vendor management skills.
Good organizational and documentation skills.
Ability to handle multiple administrative tasks simultaneously.

Qualifications & Experience
Education: Any Graduate / Diploma in Administration, Business Administration, or related field.
Experience: 1–3 years in Administration, Office Management, Facility Management, or a similar role.
Experience in attendance management, vendor coordination, and maintenance activities will be preferred.

Accuracy and timely maintenance of daily attendance records.
Timely identification and reporting of attendance irregularities.
Timely completion of administrative requirements.
Proper maintenance of assets and inventory records.
Timely closure of maintenance and facility issues.
Effective vendor coordination and service quality.
Accuracy of administrative documentation and reports.
Office cleanliness, discipline, and facility readiness.

Maintain confidentiality of company and employee information.
Follow company rules, policies, and reporting procedures.
Maintain punctuality, professionalism, and workplace discipline.
Take ownership of assigned responsibilities and ensure timely closure.
Coordinate effectively with HR, Finance, Sales, Operations, and Management.
Pay: From ₹22,000.00 per month
