Job Summary

We are seeking a detail-oriented Medical Record Retrieval Specialist to support our US Medical Billing and Revenue Cycle Management operations. The primary responsibility of this role is to obtain medical records and supporting clinical documentation from healthcare providers and facilities to facilitate accurate billing, coding, claims submission, denial management, audits, and reimbursement.

The ideal candidate should have good knowledge of the US healthcare system, strong communication skills, attention to detail, and the ability to follow up effectively with provider offices and medical facilities.

Key Responsibilities

- Retrieve medical records and supporting documentation from hospitals, physician offices, clinics, laboratories, and other healthcare providers.
- Contact provider offices through phone, fax, email, EHR/EMR portals, and other approved channels.
- Process medical record requests based on established procedures and client requirements.
- Verify patient demographics, dates of service, provider information, and required documentation before submitting requests.
- Follow up regularly on pending, incomplete, or rejected medical record requests.
- Obtain records required for claims submission, coding validation, claim appeals, denials, and payment recovery.
- Review retrieved records for completeness and ensure the requested documentation has been received.




- Identify missing clinical documentation and coordinate with provider offices for additional information.
- Upload, index, and organize medical records in the appropriate billing/RCM systems.
- Maintain accurate tracking of all requests, follow-ups, and received records.
- Update the status of medical record requests in internal systems and maintain appropriate documentation.
- Coordinate with coding, billing, AR, denial management, and quality teams as required.
- Escalate difficult or delayed requests to the appropriate team member or supervisor.
- Maintain strict confidentiality of Protected Health Information (PHI) and follow applicable HIPAA and company privacy policies.
- Meet established productivity, accuracy, turnaround-time, and quality targets.

Required Qualifications

- Bachelor's degree or equivalent qualification preferred.
- 1–3 years of experience in US Medical Billing, Medical Records, RCM, AR, Denial Management, or Healthcare BPO preferred.
- Basic understanding of the US healthcare and medical billing process.
- Knowledge of medical terminology is preferred.
- Positive verbal and written English communication skills.
- Strong follow-up and interpersonal skills.
- Good typing and computer skills.
- Proficiency in MS Office, email, web-based portals,



and healthcare applications.
- Strong attention to detail and ability to work with confidential information.
- Ability to work independently as well as within a team.

Preferred Experience

- Experience working with US healthcare providers and medical facilities.
- Familiarity with EHR/EMR systems and provider portals.
- Understanding of insurance claims and reimbursement processes.
- Experience retrieving records for coding, claims, audits, appeals, or denials.
- Familiarity with HIPAA and handling PHI.
- Experience with RCM/billing software is an advantage.

Shift & Work Requirements

- Full time position.
- Willingness to work in US healthcare/night-shift timings, based on business requirements.
- Comfortable working with US-based healthcare providers and clients.

Reporting

Reports to the Team Leader / Operations Manager – US Medical Billing / RCM.

Pay: ₹25,000.00 - ₹40,000.00 per month
