Job Description of US Onboarding Specialist

US Employee Onboarding Duties

- Prepare and send the offer letter and collected onboarding documents for W2 , C2C & 1099.
- Complete employment eligibility verification (e.g., I-9 & E-Verify process where applicable).
- Collect tax forms (such as W-4 and other onboarding documents).
- Create employee records in the HRIS.
- Coordinate background checks and drug screening (if required).
- Enroll employees in benefits according to company policy.
- Request and provision IT assets (laptop, phone, software licenses, email account).
- Sending timesheet instructions and collecting timesheets for processing





US Employee Offboarding Duties

- Process resignation, termination, or retirement in the HRIS.
- Notify payroll, IT, security, and relevant departments.
- Recover company assets (laptop, ID badge, phone, access cards, etc.).
- Process final payroll, accrued PTO, and other applicable payments according to state and federal requirements.
- Provide information on benefits continuation (e.g., COBRA, where applicable).
- Ensure confidentiality agreements and post-employment obligations are acknowledged if required.
