Key Responsibilities
1. Human Resource Operations
- Manage the complete employee lifecycle including manpower planning, onboarding, induction, confirmation, transfers, promotions, and separation.
- Develop, implement, and continuously improve HR policies, SOPs, and employee handbooks.
- Maintain employee records, HRMS, attendance, leave management, and personnel documentation.
- Ensure HR processes are standardized, efficient, and compliant.
2. Talent Acquisition
- Lead end-to-end recruitment for all positions including workforce planning, sourcing, screening, interviewing, salary negotiations, offer management, onboarding, and induction.
- Build a strong talent pipeline through job portals, consultants, employee referrals, campus hiring, and networking.
- Ensure timely closure of manpower requirements within approved recruitment timelines.
- Strengthen the employer brand to attract high-quality talent.
3. Payroll & Compensation
- Process monthly payroll accurately and within defined timelines.
- Ensure compliance with salary structures, statutory deductions, reimbursements, incentives, bonuses, and final settlements.
- Manage annual salary revisions, compensation benchmarking, and employee benefit programs.
- Coordinate payroll audits and ensure complete confidentiality of employee compensation.
4. Statutory Compliance
- Ensure complete compliance with all applicable Labour Laws and statutory regulations.
- Manage timely preparation and submission of:
- PF
- ESI
- Labour Welfare
- Skilled Tax (where applicable)
- Bonus
- Gratuity
- Contract Labour Compliance
- Other statutory returns and challans
- Maintain statutory registers, records,
and documentation.
- Coordinate statutory inspections and ensure timely closure of observations.
5. Government Liaisoning
- Liaise effectively with Government Departments including:
- Factory Inspectorate
- Labour Department
- EPFO
- ESIC
- RIICO
- BIP
- Pollution Control Board
- Fire Department
- Local Authorities
- Other Regulatory Bodies
- Obtain and renew all required licences, approvals, registrations, and statutory certificates.
- Represent the company during inspections, audits, and regulatory meetings.
6. Industrial Relations & Employee Relations
- Maintain healthy industrial and employee relations across the organization.
- Handle employee grievances, disciplinary matters, counselling, and conflict resolution.
- Conduct domestic enquiries wherever required.
- Ensure compliance with company policies and disciplinary procedures.
- Foster a positive, transparent, and high-performance work culture.
7. Performance Management & Learning
- Manage Performance Management System (KPI/KRA/Appraisal).
- Coordinate probation reviews, confirmations, promotions, and career progression.
- Identify training needs and prepare annual training calendars.
- Organize induction, technical, behavioural, leadership, and compliance training programs.
- Support succession planning and employee development initiatives.
8. Administration & Facility Management
Overall responsibility for Administration including:
- Food & Beverage (Canteen)
- Security Services
- Housekeeping
- Transport & Fleet Management
- Guest House Management
- Travel & Accommodation
- Office Infrastructure & Facilities
- Company Events & Employee Engagement Activities
- Asset Administration and Office Services
Ensure smooth day-to-day operations while maintaining service quality, safety, hygiene, and cost efficiency.
9. Vendor Management & Cost Control
- Manage vendors related to Administration and HR services.
- Negotiate contracts and Service Level Agreements (SLAs).
- Monitor vendor performance and statutory compliance.
- Verify bills and ensure timely processing of payments.
- Prepare and monitor HR & Administration budgets and optimize operational costs.
10. HR Analytics, MIS & Continuous Improvement
- Prepare periodic HR dashboards and MIS covering:
- Headcount
- Recruitment Status
- Attrition
- Attendance
- Leave
- Overtime
- Payroll
- Training
- Compliance Status
- Employee Cost
- Present HR reports to Management for strategic decision-making.
- Identify opportunities for HR automation and digital transformation.
- Drive continuous process improvement initiatives.
11. Audit & Risk Management
- Coordinate Internal, External, ISO, Labour, Factory, PF, ESI, and Statutory Audits.
- Ensure timely closure of audit observations.
- Maintain documentation as per audit and compliance requirements.
- Minimize compliance and operational risks.
Key Performance Indicators (KPIs)
- Timely closure of approved manpower requirements.
- 100% payroll accuracy and on-time salary processing.
- 100% compliance with statutory filings, returns, and challans.
- Zero major statutory or labour law non-compliance.
- Timely completion of employee confirmations and appraisals.
- Employee retention and engagement improvement.
- Effective administration and facility management.
- Vendor performance and cost optimization.
- Timely submission of HR MIS and management reports.
- Successful completion of internal and external audits.
Required Qualifications
- MBA in Human Resources / MSW / LLB, Personnel Management, Labour Welfare, or equivalent qualification.
- Additional qualification in Labour Laws or Industrial Relations will be preferred.
Experience
- Min. 5 years of relevant experience in HR & Administration, preferably in a manufacturing or industrial environment.
- Hands-on experience in Payroll, Recruitment, Statutory Compliance, Factory Administration, Industrial Relations, and Government Liaisoning.
