Customer Success and Administrative Executive

Oasis Art Studio is a fine art studio where children and adults explore different art classes, sessions and experiences including structured regular weekly classes and walk in sessions. We also design and deliver art programmes for companies, schools and NGO partners. This vacancy is for the studio's principal point of contact for every client, vendor and person who reaches us.

Responsibilities:

Enquiry handling and first response
Manage first response across both studio WhatsApp numbers, Instagram and telephone. Conduct studio tours for walk in families, share programme catalogues, and schedule trial classes in line with the trial observation format. Handle queries for corporate workshops, CSR activity, sale of art work, and miscellaneous items.

Parents and academic communication
Circulate class photographs and learning outcomes on schedule. Issue assessment files at the close of each cycle. Build and collate feedback forms,



maintain the teacher query file, and manage reschedules, make up classes and absence records.

Registrations, scheduling and fees management.
Handle registrations and batch allocation across all programme levels. Manage slot scheduling and coordinate facilitator cover. Maintain accurate attendance, payment and programme records. Issue payment links and follow up on outstanding fees. Collect cash safely and deposit to office runner.

Collaterals and studio platforms
Produce parent facing collaterals in Canva within the studio brand kit. Keep programme details, timings and pricing current across the website and all listings. Maintain a single filed source of truth for studio information.

Studio floor and events
Receive children and families, track walk ins and drop ins, and coordinate daily readiness with artists and facilitators. Conduct inventory checks on art materials and flag reorders. Coordinate workshops, camp
