The Travel Desk Executive is responsible for managing and coordinating all official travel arrangements for employees, including flight bookings, hotel accommodations, airport transfers, visa support, and travel-related documentation. The role ensures seamless travel experiences while maintaining compliance with company policies and optimizing travel costs.
Key Responsibilities
- Manage domestic and international travel bookings, including flights, hotels, rail tickets, and local transportation.
- Coordinate travel itineraries and ensure timely communication of travel details to employees.
- Liaise with travel agencies, airlines, hotels, and other service providers for reservations and travel-related requirements.
- Assist employees with visa applications, travel insurance, and other necessary travel documentation.
- Ensure all travel bookings comply with the firm's travel policy and approved budgets.
- Maintain records of travel bookings, expenses, invoices, and vendor agreements.
- Review travel invoices and coordinate with the Finance team for timely processing of payments.
- Monitor travel costs and identify opportunities for cost optimization.
- Handle travel-related queries, changes, cancellations, and emergency travel requirements.
- Generate periodic reports on travel expenditure, travel trends, and vendor performance.
- Maintain strong relationships with travel vendors and negotiate competitive rates and services.
- Support administrative activities and special projects as assigned.
Qualifications & Experience
- Bachelor's degree in any discipline.
- 1–3 years of experience in travel coordination, travel desk operations, or administrative support.
- Experience in managing corporate travel arrangements is preferred.
