Purpose of the Position (Job Summary):
We are looking for a detail-oriented and proactive Team Member – Sales Coordination to support and manage daily vehicle movement, domestic and export dispatch operations, pipeline invoicing, and related logistics activities.
The Sales Coordinator will work closely with Marketing, customers, transporters, drivers, and plant teams to ensure smooth dispatches, timely resolution of logistics issues, accurate documentation, and availability of materials for customer deliveries. The role requires robust coordination, documentation, and execution skills, with the ability to manage high-volume and time-sensitive logistics operations.
Key Individual Accountabilities
- Domestic & Export Dispatch Coordination
Manage domestic and export dispatch operations, including delivery order processing, vehicle coordination, invoicing, documentation, and compliance activities.
Coordinate vehicle movement and dispatch schedules to ensure timely product deliveries.
Issue and process necessary delivery and dispatch instructions based on customer requirements.
Coordinate with transporters and drivers for vehicle placement and dispatch execution.
Ensure all required vehicle, driver, product, contract, transportation, and safety checks are completed before dispatch.
Coordinate loading activities with in-plant teams and ensure adherence to applicable safety and statutory requirements.
Prepare and maintain required dispatch documentation, including GST invoices, e-way bills, delivery challans, and export documentation.
Coordinate export container arrangements, container gate-in, stuffing, sealing, and related documentation.
Follow up with transporters and relevant stakeholders to resolve delays and operational issues.
- Pipeline Invoicing
Handle pipeline invoicing based on reports received from the process team.
Coordinate with the process team to resolve queries related to pipeline reports and invoicing.
Ensure timely generation and circulation of pipeline invoices to customers.
Address invoice-related queries and coordinate with relevant internal teams for resolution.
Maintain accurate invoicing records and ensure alignment between physical movement, stock, and financial documentation.
- Cross-Functional Coordination
Coordinate with the Marketing team on material allocation, customer requirements, dispatch priorities, contracts, pricing, and credit-related matters.
Work closely with customers, transporters, drivers, and plant teams to resolve issues related to delivery orders, logistics, contracts, credit limits, safety, and vehicle/driver documentation.
Coordinate with in-plant teams to ensure stock availability for invoicing and prioritize loading based on marketing and customer requirements.
Maintain effective communication with all stakeholders to ensure smooth and timely dispatch operations.
- Logistics Planning & Vehicle Tracking
Support logistics planning and coordinate vehicle placement based on dispatch schedules and customer requirements.
Track and trace outbound vehicles and communicate deviations to relevant stakeholders.
Monitor dispatch status and proactively escalate delays, operational issues, or deviations.
Support incident investigation and reporting related to logistics and vehicle movement.
Coordinate with transporters and Custom House Agents (CHA) for export container movement and documentation.
- Documentation, Reporting & SAP
Maintain accurate dispatch, invoicing, inventory, and logistics records.
Ensure timely SAP updates related to dispatches, inventory, and transactions.
Support preparation and maintenance of periodic logistics and export reports.
Maintain records required for audit, statutory, and regulatory compliance.
Ensure accurate reconciliation of dispatch and stock records with relevant transaction registers.
- Safety, Compliance & Audit
Ensure compliance with applicable logistics, transportation, safety, and statutory requirements.
Ensure vehicle and driver documentation meets company safety requirements before allowing dispatch/gate-in.
Support tanker and vehicle safety inspections and related compliance activities.
Participate in internal audits, ISO requirements, safety training, and compliance initiatives.
Ensure proper documentation and record keeping for regulatory and audit requirements.

Technical & Behavioral Skills & Knowledge:
Bachelor’s degree: B.Com / B.Sc / B.A. (Mandatory).
5–10 years of experience in sales coordination, logistics coordination, dispatch operations, or a related role.
Strong knowledge of logistics operations, dispatch management,
and export documentation.
Working knowledge of SAP, GST laws, e-way bills, and inventory management systems.
Experience in domestic and export dispatch coordination will be preferred.
Good understanding of invoicing, stock management, logistics documentation, and compliance processes.
Excellent organizational, communication, coordination, and stakeholder management skills.
Ability to manage large operational volumes, including up to 200 vehicles per day.
Strong problem-solving skills with the ability to work effectively under time-sensitive conditions.
Knowledge of safety standards, ISO compliance, and audit processes is desirable.
Ability to coordinate with multiple stakeholders and manage competing priorities effectively.
Work Conditions
May require round-the-clock availability depending on dispatch schedules.
Regular interaction with drivers, in-plant teams, transporters, and marketing teams.
Fast-paced work environment with time-sensitive tasks related to vehicle movement, dispatch, invoicing, and customer deliveries.
The role requires strong coordination and responsiveness to ensure uninterrupted logistics operations.
