Stores Manager Job Profile
Position: Stores incharge/Manager
Department: Stores / Warehouse / Supply Chain
Reports To: Head – GM – Finance & Purchase
Job Purpose
Responsible for overall management and control of stores and warehouse operations, ensuring uninterrupted availability of materials, optimum inventory levels, accurate stock records, proper storage and effective utilization of warehouse resources.
Key Responsibilities
1. Manage overall Stores and Warehouse operations covering:
- Raw materials
- Components
- Consumables
- Packing materials
- Engineering/MRO items
- Tools
- Finished goods
- Scrap and rejected materials
- Establish and implement effective stores and inventory control procedures.
- Ensure materials are received only against valid Purchase Orders/approved documents.
- Ensure timely GRN/MRN preparation and system updating.
- Coordinate with Purchase, Production, Quality, Finance and other departments for material requirements.
- Ensure adequate material availability for uninterrupted production.
- Monitor inventory levels against minimum, maximum, reorder and safety stock levels.
- Analyse slow-moving, non-moving, excess and obsolete inventory and initiate corrective action.
- Establish proper warehouse layout, bin locations, material identification and storage systems.
- Ensure FIFO/FEFO and appropriate preservation methods.
- Control material receipts, issues, transfers, returns and inter-location movements.
- Review and approve material issue/transfer documentation as per authorization matrix.
- Establish robust inventory reconciliation and cycle-count procedures.
- Conduct periodic physical verification of inventory and investigate stock variances.
- Coordinate annual physical stock verification with Finance/Internal Audit/Statutory Auditors.
- Monitor inventory valuation and ensure proper reconciliation with Finance records.
- Prepare and review monthly inventory reports and MIS.
- Monitor inventory carrying costs and identify opportunities for reduction.
- Ensure proper control over scrap, rejected and obsolete materials.
- Ensure compliance with company policies, internal controls and audit requirements.
- Implement ERP/SAP-based inventory controls and ensure accuracy of system stock.
- Develop and monitor stores-related SOPs, work instructions and control procedures.
- Train, guide and evaluate Stores personnel.
- Ensure warehouse safety, security, housekeeping and 5S practices.
- Ensure compliance with applicable statutory, safety and environmental requirements.
- Lead corrective and preventive actions for inventory and stores-related audit observations.
- Coordinate with management on inventory optimization and working-capital reduction.
- Provide management with inventory ageing, stock coverage and material availability reports.
