Job role: Store executive
Department: Procurement
Job experience: Min. 2 years
Location: Bangalore
About The Hosteller The Hosteller is a people-first backpacker hostel brand built around travel, community, and shared experiences. We create spaces where travellers from across the world connect, stories are exchanged, and memories are made. Powered by passionate teams on-ground and at the corporate level, The Hosteller values ownership, empathy, collaboration and a deep respect for both people and places.
Role overview The Store Executive owns the Bangalore store end to end. Everything that enters the store, sits in it, or leaves it is this role's responsibility, in physical condition and in system record. The role covers inward receipt, outward dispatch, inbound and outbound logistics across South India, store hygiene and safekeeping, and the accuracy of every inventory entry flowing into HO systems.
The standard is simple: what the system says the store holds is exactly what the store holds, and what a property is promised arrives on time and undamaged.
Responsibilities
1. Inward receipt
Receive all inbound material against the purchase order, invoice and challan, and verify quantity, specification and condition before acceptance. Raise the GRN on the day of receipt. Record short supply, wrong specification and transit damage at the point of receipt with photographs, and drive returns and replacements to closure.
2. Outward dispatch
Issue material only against an approved indent, with no undocumented releases. Prepare challans, gate passes and e-way bills, pack to withstand road transit, and ensure a signed acknowledgement is received back for every dispatch before system stock is relieved.
3. Shipment and logistics
Plan and coordinate all inbound and outbound movement across South India, including transporter selection, load planning and dispatch scheduling. Negotiate freight rates and transit timelines,
track consignments until delivery, flag delays before they land, and travel with dispatches when required.
4. Inventory accuracy
Keep physical and system stock in exact agreement at all times, with every variance investigated and reported the same day, never adjusted silently. Maintain reorder levels and flag re-stocking on long lead-time categories before stock-out. Run cycle counts, report non-moving stock monthly, and close audits with no open observations.
5. Store hygiene and safekeeping
Maintain a defined location for every SKU with explicit labelling and category segregation. Enforce FIFO on consumables and toiletries, store linen and furnishings covered and off the floor, keep aisles and fire access clear, control store access, and share weekly security photographs with HO.
6. Documentation and reporting
Maintain audit-ready records of every store transaction. Enter all inward, outward and transfer movements on the day they occur. Maintain stock and dispatch trackers in Excel, publish periodic reports to HO Operations on schedule, and reconcile petty cash with supporting bills.
7. Coordination and closure
Act as the single point of contact between property teams, project teams, the Purchase Manager and HO for material movement. Confirm dispatch timelines in advance so site work is not held up, and track every open item to closure: pending deliveries, damages, replacements, returns and unsettled claims.
