Senior Procurement Specialist – Instrumentation, Automation & Digital Systems

Education Required

- BE / B.Tech in Instrumentation, Electronics, Electrical, or Information Technology

Experience Required

- Required – 10 to 15 years of procurement experience, with minimum 6–8 years focused on sourcing for electrical, instrumentation, and digital systems (e.g., ATG, EPS, AMS, COPT, platform development, and IT hardware) in fuel retail or similar operational environments.
- Preferred – Demonstrated experience in category-based sourcing, supply chain optimization, and large-scale industrial procurement.
- Solid familiarity with energy, fuel retail, or downstream oil & gas sectors is highly advantageous

Job Accountabilities

- Collaborate with end users to align procurement activities with monthly, quarterly, and annual operational and capital plans.
- Review purchase requisitions (PRs) for technical accuracy; interpret technical requirements for instrumentation, automation, and digital systems, and develop comprehensive Request for Quotation (RFQ) documents.
- Identify, pre-qualify, and engage potential vendors for assigned categories based on user specifications and strategic sourcing needs.
- Evaluate and select vendors using a balanced assessment of technical capability, commercial terms, quality, and delivery performance.
- Prepare internal cost estimates (ICE) to support budgeting and financial approval processes.
- Conduct techno-commercial evaluation of bids,



including total cost of ownership (TCO) analysis and risk assessment.
- Source and onboard new vendors for instrumentation, electrical, and digital solutions, ensuring alignment with quality and compliance standards.
- Ensure seamless alignment between user-defined technical requirements and vendor-proposed solutions; escalate discrepancies or gaps to the Buying Manager for resolution.
- Lead negotiations for instrumentation, electrical, and digital categories, documenting outcomes and presenting recommendations to the Buying Manager for final approval.
- Draft term sheets, procurement notes, and PO placement recommendations, ensuring clarity on scope, delivery, and contractual obligations.
- Execute finalized purchase orders and ensure accurate and timely data entry in SAP MM module.
- Proactively address internal and external audit findings related to procurement compliance; escalate critical issues to the Buying Manager.
- Monitor order fulfillment timelines, coordinate with logistics and warehouse teams, and ensure timely vendor payments per agreed terms.
- Partner with cross-functional teams—including engineering, finance, and legal—to develop category strategies, drive vendor development programs, and implement continuous improvement initiatives.
- Maintain expert-level proficiency in SAP MM module, end-to-end P2P processes, and contract management best practices.
