Job Purpose The Procurement Manager is responsible for planning, sourcing, negotiating, purchasing, and managing all procurement activities for the school. The role ensures timely availability of quality goods and services at competitive prices while maintaining compliance with organizational policies, budgets, and statutory requirements. The Procurement Manager will support both academic and operational functions to ensure uninterrupted school operations.
Key Responsibilities
1. Procurement Planning
- Develop annual procurement plans in line with approved budgets.
- Coordinate with academic and administrative departments to forecast procurement requirements.
- Monitor CAPEX, APC, and OPEX procurement activities.
- Ensure timely procurement to meet academic calendars and project timelines.
2. Strategic Sourcing & Vendor Management
- Identify, evaluate, and onboard qualified vendors.
- Conduct RFQs, RFPs, and tender processes.
- Negotiate pricing, payment terms, warranties, and service agreements.
- Maintain supplier performance evaluations and vendor database.
- Develop long-term strategic supplier relationships.
3. Furniture Procurement
- Procure classroom furniture, office furniture, laboratory furniture, library furniture, cafeteria furniture, and outdoor furniture.
- Coordinate layouts and installation.
- Ensure compliance with school safety and quality standards.
4. Information Technology (IT) Procurement
- Procure laptops, desktops, tablets, printers, smart boards, projectors, networking equipment, servers, CCTV systems, access control systems, software licenses, and other IT infrastructure.
- Coordinate with the IT department for technical specifications and implementation.
- Manage Annual Maintenance Contracts (AMCs) for IT equipment.
5. Academic Resources Procurement
- Procure laboratory equipment, science lab consumables, robotics kits, STEM resources, art materials, music instruments, sports equipment, classroom teaching aids, and educational supplies.
- Ensure resources comply with curriculum requirements.
6. Library Books Procurement
- Coordinate with librarians and academic teams for annual library acquisitions.
- Procure books, digital resources, journals, subscriptions, and e-learning materials.
- Coordinate with publishers and distributors for timely deliveries.
7. Books & Uniform Procurement
- Manage procurement of textbooks,
workbooks, notebooks, stationery kits, and school uniforms.
- Coordinate with publishers, printers, and uniform vendors.
- Monitor production schedules and delivery timelines.
- Resolve quality and sizing issues.
- Ensure availability before the commencement of each academic year.
8. Operations Procurement
- Procure housekeeping materials, electrical items, plumbing materials, maintenance supplies, office stationery, pantry supplies, transportation requirements, security equipment, medical supplies, and other operational necessities.
- Ensure uninterrupted availability of essential supplies.
9. Event Procurement
- Manage procurement for school events, annual day, sports day, graduation ceremonies, exhibitions, workshops, cultural events, conferences, and competitions.
- Coordinate with event committees and vendors.
- Ensure timely delivery and cost optimization.
10. Contract & Inventory Management
- Prepare purchase orders and procurement agreements.
- Manage Annual Maintenance Contracts (AMCs) and service contracts.
- Coordinate with stores for GRN/MRN processes.
- Monitor inventory levels and recommend reorder points.
- Ensure proper documentation and record maintenance.
11. Budget & Cost Control
- Ensure procurement is within approved budgets.
- Track procurement expenditure.
- Generate savings through strategic sourcing.
- Prepare procurement MIS and cost analysis reports.
12. Compliance & Governance
- Ensure compliance with procurement policies and internal controls.
- Maintain audit-ready procurement documentation.
- Adhere to statutory and regulatory requirements.
- Promote ethical procurement practices and transparency.
13. Stakeholder Coordination
- Collaborate with Academic, Finance, IT, Administration, Facilities, HR, Transport, Library, Sports, and School Leadership teams.
- Ensure timely communication regarding procurement status and delivery schedules.
Required Knowledge The Procurement Manager should possess strong knowledge of:

Experience
- 10–12 years of procurement experience in Schools.
- Minimum 3–5 years in a managerial role.
- Experience in an International School, Educational Institution, University, or large service organization is preferred.
- Hands-on experience in procurement of furniture, IT, books, uniforms, laboratory equipment, academic resources, and facility management.
