Job Summary

This is a virtual HR Assistant position supporting US-based businesses with day-to-day Human Resources and administrative operations.

We are looking for professionals with strong experience in HR operations, recruitment coordination, employee lifecycle management, and HR administration who can independently manage multiple HR-related responsibilities while maintaining a high level of accuracy and professionalism.

The role involves supporting various aspects of the employee lifecycle, including recruitment coordination, onboarding, employee records, HR documentation, reporting, benefits and payroll administration support, employee communication, and HRIS management.

As a client-facing role, you will often serve as a key point of contact for the client's employees, candidates, managers, and other stakeholders. Strong written and verbal communication, confidentiality, attention to detail, and the ability to work independently are essential.

You should be comfortable working in a fast-paced remote environment, managing multiple priorities, proactively identifying issues, and providing reliable HR support aligned with the client's processes and requirements.

Responsibilities

HR Administration & Employee Lifecycle

- Manage day-to-day HR administrative activities across the employee lifecycle.
- Support employee onboarding, offboarding, transfers, promotions, and other employee movements.
- Maintain accurate and up-to-date employee records and HR documentation.
- Prepare employment-related documents, letters, forms, and HR correspondence.
- Maintain organized digital employee files while ensuring confidentiality and data accuracy.
- Respond to employee HR-related queries and route complex matters to the appropriate stakeholder.

Recruitment & Hiring Support

- Support end-to-end recruitment coordination, including job posting, candidate communication, interview scheduling, and follow-ups.
- Coordinate with hiring managers and candidates throughout the recruitment process.
- Maintain candidate records and recruitment trackers.
- Support offer documentation, background checks, pre-employment requirements,



and onboarding coordination.
- Maintain accurate recruitment reports and provide updates on hiring progress.

Employee Support & Communication

- Serve as a professional point of contact for employees and stakeholders regarding HR-related queries.
- Respond to emails and inquiries in a timely and professional manner.
- Coordinate employee communications, announcements, surveys, and HR initiatives.
- Assist in resolving routine employee concerns and escalate sensitive or complex matters appropriately.
- Maintain a high level of professionalism while handling confidential employee information.

HRIS & Data Management

- Maintain and update employee information in HRIS and other HR systems.
- Manage employee records, status changes, documentation, and system updates.
- Ensure HR data is accurate, complete, and maintained in accordance with established processes.
- Assist with HRIS audits, data validation, and record reconciliation.
- Generate employee reports and HR-related data as required.

Payroll & Benefits Administration Support

- Support payroll-related activities by maintaining accurate employee information and providing required data.
- Assist with timesheet, attendance, leave, and payroll-related records.
- Support benefits administration, including employee enrollments, changes, and documentation.
- Coordinate with payroll and benefits providers or internal stakeholders as required.
- Follow up on payroll and benefits-related queries and ensure timely resolution.

HR Reporting & MIS

- Prepare and maintain HR reports, trackers, and dashboards.
- Track key HR metrics such as headcount, attrition, recruitment status, attendance, leave, onboarding, and employee lifecycle movements.
- Use Excel/Google Sheets to organize, analyze, and present HR data.
- Maintain accurate records and provide timely reports to clients and stakeholders.
- Identify discrepancies and follow up to ensure data accuracy.

Compliance & Documentation

- Support the maintenance of HR policies, procedures, forms, and employee documentation.
- Assist with compliance-related documentation and reporting as required by the client.
- Ensure HR processes are followed consistently and documentation is maintained accurately.
- Handle sensitive employee and business information with strict confidentiality.

HR Projects & Process Improvement

- Support HR projects and initiatives such as employee engagement, surveys, performance management, and policy rollouts.
- Assist in implementing new HR processes, tools,



and systems.
- Identify recurring administrative challenges and suggest process improvements.
- Create and maintain SOPs, checklists, trackers, and process documentation.
- Collaborate with client stakeholders and internal teams to improve HR processes and employee experience.

Qualifications

- Minimum 3 years of full-time corporate HR experience.
- Bachelor's/Master's degree in Human Resources, Business Administration, or a related field.
- Strong experience in HR operations and employee lifecycle management.
- Excellent written and verbal communication skills.
- Strong proficiency in Microsoft Excel/Google Sheets, including formulas, pivot tables, and reporting.
- Experience working with HRIS/HRMS platforms.
- Strong attention to detail and data accuracy.
- Excellent organizational and time-management skills.
- Ability to manage multiple priorities independently in a remote environment.
- Strong problem-solving and follow-up skills.
- Ability to handle confidential and sensitive employee information professionally.
- Strong stakeholder management and interpersonal skills.
- Comfortable communicating directly with US-based clients and employees.

Preferred Qualifications

- Experience supporting US-based employees or clients.
- Familiarity with US HR practices and employee lifecycle processes.
- Experience with US payroll or benefits administration.
- Experience with HRIS platforms such as BambooHR, Workday, ADP, Paychex, Rippling, Gusto, or similar systems.
- Experience in recruitment coordination or talent acquisition.
- Experience working in a BPO, staffing, outsourcing, or client-service environment.
- Experience working with remote/global teams.

- Eastern Time - 6:30 p.m. - 3:30 a.m. IST, Rotational Shifts, Remote
- Pacific Time - 9:30 p.m. - 6:30 a.m. IST, Rotational Shifts, Remote
