Job Summary
We are looking for an experienced and proactive HR Executive with 5+ years of experience to manage end-to-end HR operations, including recruitment, onboarding, attendance and payroll coordination, employee relations, performance/probation tracking, exit management, HR documentation, and statutory compliance.
The candidate will be responsible for ensuring smooth execution of HR processes while maintaining accurate employee records and ensuring compliance with applicable labour laws, statutory requirements, and company policies.
Key Roles & Responsibilities1. Recruitment & Selection
- Understand manpower requirements from various departments and coordinate recruitment activities accordingly.
- Prepare and update Job Descriptions in coordination with concerned departments.
- Source candidates through job portals, recruitment agencies, professional networks, employee referrals, and other appropriate channels.
- Screen resumes and conduct initial HR interviews.
- Coordinate technical and management interviews with candidates and concerned departments.
- Evaluate candidates based on qualifications, experience, skills, and organizational requirements.
- Conduct reference/background checks wherever applicable.
- Prepare and issue offer letters and coordinate pre-joining formalities.
- Maintain recruitment trackers, candidate databases, and recruitment MIS.
- Monitor recruitment status, joining ratios, and time-to-fill positions.
1. Onboarding & Induction
- Manage the complete employee joining and onboarding process.
- Welcome new employees and conduct HR induction and orientation programs.
- Ensure completion and verification of joining documentation, including personal, educational, bank, identification, and statutory details.
- Create and maintain individual employee personnel files and digital records.
- Coordinate with IT, Administration, Finance/Accounts, and reporting managers for workstation, system access, ID cards, and other joining requirements.
- Ensure employees are properly briefed on company policies, rules, code of conduct, attendance, leave, and other HR procedures.
1. Attendance, Leave & Payroll
- Monitor and maintain day-to-day employee attendance and leave records.
- Verify attendance, late coming, absenteeism, overtime, weekly offs, and leave adjustments.
- Prepare monthly attendance and payroll inputs.
- Calculate/verify salary components, overtime, deductions, incentives, leave adjustments, and other payroll-related inputs as applicable.
- Coordinate the monthly payroll process and hand over verified salary inputs to the Accounts/Finance Department for salary processing.
- Ensure timely resolution of payroll and attendance-related employee queries.
- Maintain payroll records and ensure confidentiality of employee compensation information.
- Assist in Full & Final Settlement calculations and processing.
1. Statutory Compliance & Labour Laws
- Ensure HR processes and practices comply with applicable central and state labour laws and statutory requirements.
- Maintain statutory records, registers, returns, notices, and documentation as applicable to the establishment.
- Coordinate with Accounts/Finance and external consultants for timely statutory compliance and payments.
- Assist in compliance relating to applicable requirements such as EPF, ESI, Professional Tax, Labour Welfare Fund,
Bonus, Gratuity, Minimum Wages/Wage Code requirements, Payment of Wages, Shops & Establishments requirements, and other applicable employment laws.
- Monitor changes in labour laws, rules, notifications, and government requirements and communicate relevant changes internally.
- Support labour-law audits, statutory inspections, and compliance audits by maintaining required records and documents.
- Ensure employee records and HR practices are maintained in accordance with applicable statutory requirements.
- Assist in ensuring compliance with applicable requirements relating to working hours, leave, overtime, wages, employee benefits, and statutory deductions.
- Coordinate with legal/statutory consultants wherever required for labour-law matters.
- Ensure timely renewal and maintenance of applicable registrations, licences, and statutory documentation.
- Maintain compliance calendars and track statutory due dates to avoid delays, penalties, or non-compliance.
1. Exit Management & Full & Final Settlement
- Receive and acknowledge employee resignation letters and update the HR database.
- Review appointment terms and applicable notice-period requirements.
- Calculate notice-period recovery/shortfall, where applicable.
- Coordinate employee clearance with Administration, IT, Accounts/Finance, reporting managers, and other relevant departments.
- Prepare and coordinate Full & Final Settlement, including salary, leave encashment, deductions, recoveries, notice-period recovery, and other applicable components.
- Coordinate issuance of relieving letters, experience certificates, FNF statements, and other exit documents.
- Conduct exit interviews and maintain exit/attrition records.
- Handle absconding cases and initiate appropriate communication/notices in accordance with company policy and applicable law.
- Ensure timely closure of employee records and statutory/benefit-related formalities upon separation.
1. HR Operations & Documentation
- Maintain accurate and up-to-date employee databases, HRIS, personnel files, and HR MIS.
- Prepare periodic HR reports relating to headcount, recruitment, attrition, attendance, leave, payroll, overtime, and other HR metrics.
- Ensure proper filing, documentation, record retention, and confidentiality of employee information.
- Maintain and update probation trackers for all newly joined employees.
- Monitor probation timelines and confirmation due dates.
- Coordinate performance feedback and confirmation processes with reporting managers.
- Prepare and issue appointment letters, confirmation letters, relieving letters, experience letters, FNF statements, warning letters, and other HR-related documents.
- Update employee status, transfers, promotions, confirmations, resignations, and exits in the HR database.
- Maintain proper exit records and employee history.
- Ensure HR documentation is audit-ready and compliant with company and statutory requirements.

Employee Relations & Grievance Handling
- Address employee queries and grievances professionally and within defined timelines.
- Act as a point of contact between employees and management for routine HR matters.
- Support management in resolving employee relations issues and workplace concerns.
- Handle disciplinary matters in accordance with company policies and applicable labour laws.
- Draft warning letters, show-cause notices, disciplinary communications, and other HR correspondence as required.
- Maintain proper documentation of disciplinary and employee-relations cases.
- Monitor employee behaviour, attendance patterns, absenteeism, late coming, and other workplace issues.
- Promote a positive, professional, and healthy work environment.
- Maintain confidentiality while handling sensitive employee matters.
1. HR Policy & Process Management
- Implement and communicate HR policies, procedures, and employee guidelines.
- Ensure consistent application of HR policies across departments.
- Identify gaps in HR processes and recommend improvements.
- Support management in developing and updating HR policies in line with business requirements and applicable laws.
- Assist in employee engagement initiatives, welfare activities, and organizational events.
- Support HR audits and process improvement initiatives.
Qualifications
- Bachelor's degree in Human Resources, Business Administration, Commerce, or a related field.
- MBA/PG Diploma in Human Resources or equivalent qualification will be preferred.
- Minimum 5 years of relevant experience in HR Generalist/HR Operations roles.
- Experience in handling recruitment, onboarding, attendance, payroll coordination, employee relations, documentation, statutory compliance, and exit processes.
- Practical knowledge of applicable Indian labour laws and statutory compliances.
- Experience in maintaining HR MIS, employee databases, and statutory/HR records.
- Experience in handling audits, inspections, and compliance documentation will be an advantage.

- Good understanding of Indian labour laws and statutory compliance requirements.

- Strong MS Excel/Microsoft Office skills; knowledge of HRMS/HRIS and payroll software preferred.

- Good understanding of HR MIS and reporting.
- Ability to maintain confidentiality of employee and company information.
- Robust organizational and time-management skills.
- Ability to handle employee grievances and sensitive situations professionally.
- Attention to detail and accuracy in documentation and payroll inputs.
- Ability to work independently as well as coordinate effectively with multiple departments.
- Strong follow-up and coordination skills.
Pay: ₹25,000.00 - ₹35,000.00 per month
