HR Executive
Position: HR Executive
Department: Human Resources

Job Purpose The HR Executive will be responsible for managing day-to-day HR operations, employee coordination, recruitment support, attendance and leave management, payroll coordination, employee documentation, statutory compliance support, and maintaining a positive and disciplined work workplace.
Key Responsibilities
1. Recruitment & Selection
- Coordinate the end-to-end recruitment process for assigned positions.
- Prepare and post job descriptions on relevant recruitment platforms.
- Source and screen candidates through job portals, references, and other channels.
- Conduct initial HR interviews and coordinate technical/management interviews.
- Coordinate salary discussions, selection, documentation, and offer letters.
- Maintain a database of candidates and recruitment status.
1. Employee Joining & Documentation
- Coordinate employee onboarding and joining formalities.
- Collect and verify employee documents.
- Maintain employee personal files and HR records.
- Prepare appointment letters, confirmation letters, and other HR documents.
- Conduct joining formalities and HR induction.
1. Attendance, Leave & Payroll Coordination
- Maintain daily attendance and employee leave records.
- Monitor late coming, absenteeism, unauthorized absence, and regularization.
- Coordinate monthly payroll inputs with the concerned department.
- Verify salary-related information such as attendance, leave, deductions, incentives, and reimbursements.
- Coordinate employee queries relating to salary and attendance.
1. Employee Relations
- Handle routine employee queries and grievances professionally.
- Coordinate between employees and management for HR-related matters.
- Support disciplinary processes and documentation where required.
- Monitor employee conduct and adherence to company policies.
- Maintain confidentiality of employee and company information.
1. HR Policies & Compliance
- Assist in implementing and communicating HR policies and procedures.
- Ensure proper maintenance of statutory and HR records.
- Coordinate with consultants/agencies for PF, ESI, labour law, and other statutory compliance matters.
- Maintain compliance-related employee documentation and records.
- Keep track of applicable changes in labour laws and HR regulations.
1. Performance Management
- Coordinate probation reviews and employee confirmation processes.
- Assist in performance appraisal activities.
- Maintain records of employee performance reviews.
- Coordinate performance improvement plans wherever required.
1. Employee Exit & Full & Final Settlement
- Coordinate resignation and exit formalities.
- Monitor notice periods and handover requirements.
- Conduct/coordinate exit interviews.
- Coordinate full and final settlement with Finance.
- Ensure timely issuance of relieving and experience letters as per company policy.
1. HR MIS & Reporting
- Maintain accurate HR databases and employee records.
- Prepare regular HR reports relating to headcount, attendance, attrition, recruitment, leave, and employee status.
- Maintain recruitment trackers and joining/exit records.
- Provide HR data and reports to management as required.
Required Skills
- Good communication and interpersonal skills.
- Strong coordination and follow-up abilities.
- Knowledge of recruitment and general HR processes.
- Working knowledge of MS Excel and MS Office.
- Basic understanding of payroll, PF, ESI, and labour compliance.
- Good documentation and record-keeping skills.
- Ability to maintain confidentiality.
- Strong problem-solving and employee-handling skills.
- Ability to work independently and coordinate with multiple departments.
Educational Qualification
- MBA/PGDM in Human Resources, or
- Graduate/Postgraduate degree with relevant HR experience.
Key Performance Indicators (KPIs)
- Timely closure of recruitment requirements.
- Accuracy of attendance and payroll inputs.
- Timely completion of joining and exit formalities.
- Maintenance of accurate employee records.
- Employee grievance resolution and response time.
- Compliance with HR policies and statutory requirements.
- Timely submission of HR MIS and reports.
- Employee retention and engagement support.
Preferred Experience Candidates with experience in recruitment, employee relations, payroll coordination, attendance management, statutory compliance, and HR documentation will be preferred.
