Roles & Responsibilities:
Maintain responsibility for an assigned inventory of states, courts, clients, or cases
Access state and local court websites, public docket systems, vendor platforms, or approved legal research tools
Pull or review court dockets according to the required daily, weekly, or other established cadence
Confirm that all assigned cases were reviewed within the required service level
Identify current docket entries, filings, orders, notices, hearings, judgments, service activity, deadlines, and other material case updates
Retrieve available docket documents and save them to the appropriate case file
Follow established document naming and storage conventions
Compare new court activity against information already recorded in the firms case management system
Determine whether the work associated with the new docket activity is already assigned, pending, or completed
Use the approved playbook or routing matrix to initiate the appropriate workflow when required work is not already underway
Create defined tasks, litigation processes, work items, notifications, or routing communications based on established procedures
Identify approaching deadlines or urgent court activity and escalate immediately
Document the date of review, results of the review, and any action taken
Track unsuccessful docket access attempts, unavailable court systems,
missing documents, or other exceptions
Inbound Service Monitoring
Monitor designated inbound service, mailroom, court notice, or legal document email boxes
Review incoming messages and attachments within established service levels
Identify the document type, court, case number, parties, applicable file, and responsible business function
Match documents to the correct matter in the case management system
Save documents using the required naming convention and storage location
Determine whether the document has already been received, docketed, routed, or addressed
Apply the established mailroom, service, or litigation routing playbook
Route documents and notifications to the correct operational team, attorney support group, attorney, or specialty mailbox
Initiate applicable predefined processes when instructed by the playbook
Recognize documents involving hearings, deadlines, sanctions, sale activity, service, judgments, defaults, contested litigation, bankruptcy, appeals, or other time sensitive matters
Escalate unclear, unusual, conflicting, or unlisted documents rather than making unsupported assumptions
Maintain records showing when the item was received, reviewed, saved, routed, and escalated
