Location: Women & Children Hospital
Designation: Front Office Executive / Gynic OPD Receptionist
Reporting To: Front Office Manager / Hospital Administration
Experience: 1–3 years preferred in hospital/clinic front office
Qualification: Any Graduate; healthcare/hospital administration experience preferred
Job Summary The Gynic OPD Receptionist will be responsible for managing the reception and patient coordination activities of the Gynaecology OPD. The role involves welcoming patients, appointment scheduling, registration, billing coordination, maintaining patient records, coordinating with doctors and nursing staff, and ensuring smooth patient flow with professional and courteous service.
Key Responsibilities
Patient Reception & Registration
- Welcome and greet patients and attendants professionally.
- Register new and returning patients accurately in the hospital system.
- Verify patient details, contact information, and required documents.
- Issue OPD registration slips and guide patients to the appropriate consultation area.
- Maintain confidentiality of patient information.
Appointment Management
- Schedule, reschedule, and cancel Gynaecology OPD appointments.
- Coordinate doctor appointments and manage patient waiting lists.
- Confirm appointments through phone calls/messages as per hospital procedure.
- Inform patients regarding consultation timings and any schedule changes.
- Ensure proper coordination for follow-up visits.
Gynic OPD Coordination
- Coordinate patient flow between reception, nursing staff, doctors, laboratory, radiology, pharmacy, and billing.
- Guide patients for consultation, investigations, procedures, and follow-up appointments.
- Coordinate with Gynaecologists regarding OPD schedules and patient requirements.
- Assist in managing priority/emergency cases by immediately informing the concerned nursing or medical team.
- Ensure smooth movement of patients without unnecessary delays.
Billing & Cash Coordination
- Coordinate OPD consultation billing and other applicable charges.
- Collect payments as per hospital procedures, where assigned.
- Provide receipts and ensure accurate billing information.
- Coordinate with the billing/cashier team regarding billing discrepancies or corrections.
- Maintain proper records of transactions handled at the reception.
Patient Communication & Customer Service
- Answer patient and attendant queries politely and professionally.
- Handle telephone calls and provide accurate information regarding OPD services and appointments.
- Explain basic hospital procedures, timings, and documentation requirements.
- Handle patient concerns professionally and escalate complaints to the Front Office Manager when required.
- Maintain a patient-friendly and respectful setting.
Records & Documentation
- Maintain accurate patient registration and appointment records.
- Ensure proper documentation and filing of OPD-related records.
- Update patient information in the Hospital Information System (HIS/HMS).
- Maintain confidentiality and follow hospital policies regarding patient data.
Additional Responsibilities
- Maintain cleanliness and professional appearance of the reception area.
- Follow hospital dress code, grooming, attendance, and biometric policies.
- Coordinate with other departments whenever required for patient care.
- Support hospital health camps, awareness programmes, and special OPD activities when assigned.
- Perform other duties assigned by the Front Office Manager or Hospital Administration.
Required Skills
- Excellent communication and interpersonal skills.
- Good knowledge of Telugu, Hindi, and English preferred.
- Basic computer and MS Office knowledge.
- Experience with hospital HIS/HMS software preferred.
- Good telephone etiquette.
- Patient-friendly attitude and strong customer service skills.
- Ability to multitask and work under pressure.
- Good coordination and problem-solving skills.
- Attention to detail and accuracy in patient registration and documentation.

Working Conditions
- Willingness to work in rotational shifts, if required.
- Must maintain professional grooming and behaviour at all times.
- Must follow hospital attendance and biometric punching requirements.
- Should be comfortable working in a busy Women & Children hospital environment.
Preferred Candidate: Candidates with prior experience in a hospital/clinic front office, particularly in Gynaecology or Women & Children healthcare settings, will be preferred. Pay: ₹8,863.38 - ₹25,118.00 per month
