At Reflections Designs, we design and execute premium residential and commercial interiors.

Our projects involve multiple moving parts — clients, designers, vendors, contractors, site teams, drawings, materials, approvals, payments and deadlines.

We are looking for an Execution & Client Coordinator who can bring structure to all of this and make sure the right person is doing the right thing at the right time.

This is a high-accountability coordination role working closely with the Founder and the design & execution team.

WHAT YOU'LL DO Keep the Team on Track

- Maintain the company's task and delegation trackers
- Make sure every task has a clear owner and deadline
- Follow up with designers, site teams, vendors and other team members
- Track pending drawings, approvals, quotations, material selections and other deliverables
- Identify delays before they become problems
- Escalate important issues to the Founder with clear information
- Prepare weekly project and execution updates

Coordinate Our Interior Projects You will help keep projects moving from design to execution and handover.

This may include tracking

- Design deliverables
- Client approvals
- Material selections
- Vendor quotations
- Contractor requirements
- Site-related follow-ups
- Procurement and delivery timelines
- Pending information from clients
- Project deadlines and handover requirements

You don't need to be the designer or contractor. Your job is to make sure everyone is doing what they are supposed to be doing.

Manage Client Communication

You'll be an important communication link between our clients and our internal team.

Responsibilities include





- Sending regular project updates to clients
- Coordinating meetings and site visits
- Following up for approvals and information
- Keeping track of client requests
- Ensuring the internal team responds to client requirements
- Maintaining clear communication records
- Escalating issues to the Founder when required

The goal is simple: The client should never have to wonder, “What's happening with my project?”

Bring Structure to Reflections

As Reflections grows, we want our systems to grow with us.

You'll help us

- Maintain KRA and task trackers
- Create weekly execution reports
- Track project bottlenecks
- Maintain organised documentation
- Improve our internal coordination systems
- Ensure the team follows agreed processes
- Make sure important information doesn't live only in someone's WhatsApp chat or memory

WHO WOULD BE A GREAT FIT? This role is perfect for someone who:

Loves follow-ups.

You don't mind asking, “Is this done?” for the third time.

Is extremely organised.

You enjoy trackers, checklists, deadlines and knowing exactly what is pending.

Can handle people.

You can be firm with a designer, polite with a client and persistent with a vendor — sometimes all on the same day.

Communicates clearly.

You can take a complicated situation and explain it simply.

Takes ownership.

You don't just say,



“I informed them.” You make sure the task actually gets completed.

Can handle multiple projects.

Interior design means there will rarely be just one thing happening at a time.

EXPERIENCE

- 1–4 years of experience in operations, coordination, administration or client servicing
- Experience in interior design, architecture, construction, real estate or another service-based business is preferred
- Valuable working knowledge of Excel / Google Sheets
- Comfortable using WhatsApp, project-management software and other digital tools

IMPORTANT: THIS IS NOT A DESIGNER'S ROLE You don't need to design kitchens, select colours or create 3D views.

You also won't be responsible for:

- Making pricing decisions
- Making strategic decisions
- Hiring team members
- Approving finances
- Making commitments to clients without approval

Your role is to coordinate, track, follow up, communicate and make sure things happen.

WHAT SUCCESS LOOKS LIKE

After a few months, the Founder should be able to look at the company's trackers and know:

What's happening?

What's pending?

Who's responsible?

What's delayed?

What needs attention?

And most importantly

The team should need less chasing from the Founder because you are already on top of it.
