JOB DESCRIPTION – QUALITY OFFICER

Company: Jina Cosmetics Pvt. Ltd.
Location: Sanand, Khoda, Gujarat
Department: Quality Assurance / Quality Control
Designation: Quality Officer
Reporting To: QA Manager / Quality Manager / Plant Head

1. Job Purpose

To ensure that raw materials, packaging materials, manufacturing processes, finished products, and documentation meet the company's quality standards, GMP requirements, specifications, and applicable cosmetic regulations.

2. Key ResponsibilitiesA. Incoming Material Inspection

- Inspect and verify incoming raw materials and packaging materials.
- Check material identity, batch number, quantity, physical condition, and COA/documents.
- Coordinate with QC for sampling and testing.
- Ensure proper status labeling such as Quarantine, Approved, or Rejected.
- Report any material discrepancy or quality issue.

B. In-Process Quality Control

- Perform routine in-process checks during manufacturing and filling/packing.
- Verify parameters as per approved Batch Manufacturing Record (BMR) and SOP.
- Check appearance, colour, odour, viscosity, pH, fill weight/volume, and other applicable parameters.
- Ensure line clearance before starting production/packing.
- Monitor production activities for GMP compliance.
- Report deviations immediately to the QA/QC Manager.

C. Finished Product Quality

- Inspect finished products according to approved specifications.
- Verify packaging, labeling, batch coding, quantity, and appearance.
- Coordinate with QC for laboratory testing.
- Ensure products are released only after required quality checks and approvals.

D. GMP & Hygiene

- Ensure employees follow GMP and personal hygiene requirements.
- Conduct routine GMP inspections of production and storage areas.
- Monitor cleaning and sanitation practices.
- Ensure prevention of contamination and cross-contamination.




- Report GMP violations and follow up on corrective actions.

E. Documentation

- Review BMR/BPR and other quality records.
- Ensure records are complete, accurate, legible, and signed.
- Maintain inspection and quality-control records.
- Prepare quality reports and checklists.
- Ensure proper document control as per SOP.
- Maintain records of deviations, complaints, CAPA, and non-conforming materials/products.

F. Quality Issues & CAPA

- Identify and document non-conforming materials and products.
- Assist in investigation of quality deviations.
- Support root-cause analysis.
- Follow up on Corrective and Preventive Actions (CAPA).
- Monitor effectiveness of corrective actions.

G. Customer Complaints

- Assist in investigation of customer complaints.
- Collect batch records and quality information related to complaints.
- Coordinate with Production, QC, QA, and other departments for investigation.
- Maintain complaint records and follow-up actions.

H. Audit Support

- Support internal, customer, and regulatory audits.
- Maintain GMP and quality records for audit readiness.
- Assist in closing audit observations.
- Conduct routine area inspections and report findings.
- 4. Required Skills
- Good knowledge of cosmetics manufacturing and quality processes.

5. Qualification & Experience

Education: B.Sc. / M.Sc. Chemistry, Microbiology, Pharmacy, or relevant qualification.

Experience: 1–3 years in Quality Assurance/Quality Control, preferably in cosmetics, FMCG,



pharmaceutical, or personal-care manufacturing.

6. Authority

- Stop or hold a process/material/product when a significant quality or GMP issue is identified, as per company procedure.
- Reject or place materials/products on hold based on applicable specifications and QA approval procedures.
- Report GMP violations and quality deviations to the Quality Manager.
- Recommend corrective actions for identified quality issues.

- Maintain daily quality records.

9. Job Objective

To ensure that every cosmetic product manufactured and packed at Jina Cosmetics Pvt. Ltd. meets defined quality standards, GMP requirements, customer expectations, and applicable regulatory requirements.

- Knowledge of GMP and basic quality systems.
- Knowledge of BMR/BPR, SOP, specifications, and quality records.
- Basic knowledge of laboratory testing and quality parameters.
- Good documentation and reporting skills.
- Basic knowledge of MS Excel and Word.
- Good observation and analytical skills.
- Good communication and coordination skills.
- Ability to identify quality deviations and take timely action.

Pay: ₹20,000.00 - ₹25,000.00 per month
